Role: Administrative Specialist / Virtual Assistant
Contract: Full-time Remote Contractor (160 hours monthly)
Business Hours: 9 AM – 5 PM EST, Monday-Friday
Rate: $10,000 – $11,000 USD annually / $800 – $900 monthly (Salary is negotiable based on experience)
Availability to Start: Immediately

What you’ll do

The company seeks a dedicated Administrative Specialist to support the Director of Partnership in various administrative tasks. The ideal candidate will be crucial in managing sponsor-related activities, coordinating speaker communications, scheduling calendars, and maintaining a consistent social media presence to promote their brand. Responsibilities include but are not limited to:

Sponsorship Management:
Assist the Director of Partnership in managing sponsor logos and ensuring proper placement.
Coordinate communications with sponsors, ensuring timely and accurate information exchange.

Calendar Scheduling:
Efficiently manage and coordinate the Director’s calendar, including scheduling appointments, meetings, and events.
Keeping track of meetings and metrics to support the Director’s fundraising efforts.
Speaker Communication:
Support in managing communications with speakers, ensuring precise and timely Correspondence.
Collaborate with the team to coordinate speaker-related logistics for events and programs.

Social Media Posting:
Execute weekly social media postings to promote the organization’s brand and engage the audience effectively.
Collaborate with the marketing team to create compelling content for social media platforms.

What you should have

Proven experience in Administrative or Executive support.
Strong ability to manage a CRM system
Proficiency in calendar management and scheduling tools.
Strong understanding of social media platforms and their best practices.
Experience in working remotely with an international company (US, CAN, UK, etc.)
Strong organizational and communication skills with an attention to detail.
Ability to work collaboratively in a fast-paced environment.
Strong problem-solving skills and ability to prioritize tasks effectively.
Proficiency in using Google Workspace and Calendar for event coordination.
Proficiency in graphic design tools such as Canva.
Passion for and commitment to the goals and values of the non-profit sector.
Ability to work independently and meet deadlines in a remote work environment.
