Administrative Specialist

We’re looking for a full-time Administrative Specialist to help support our sales and recruiting teams. This is an entry-level position that is eligible for promotion after 12 months of tenure.

About Us

Started in 2017 and we’re growing like crazy.
We expect to hire at least 4 salespeople, 3 admins, and 3 marketers in 2023.
Growing FAST – We sold 2663 lessons in 2023 and we’re on pace to sell 3328 lessons in 2023
A small team of 1 American and 3 Filipinos.
We sell manual transmission driving lessons in the United States. Yes, really.
100% inbound leads from Organic Search (SEO). We don’t do cold calling.
No competition – in 90% of the markets we serve, we have no competitors. Because of this, our sale is pretty easy to make.

Compensation & Benefits:

Base Salary ($200 per week)
Paid 5 Sick Days – Effective on day 1
Paid 10 days vacation – Prorated
Paid 14 Bank holidays – (Legal and religious Holidays are country-specific)
Paid Birthday Off – you pick a day off
Business Continuity Plan – In cases of calamity $40 hotel accommodations are permitted to ensure work will continue
Schedule – 9 AM to 5 PM EST

Job Responsibilities:

New Leads Processing – Import into CRM, enroll in follow up sequences with sales team 
Delayed AFC Activity Check – Check to see why leads haven’t been followed up with
Duplicate Record Check – Make sure there are no duplicate sales leads in the CRM
Unqualified Lead Check – Make sure we’re not following up with unqualified leads
CTM Prospect Staging – Edit lead records in our phone system for the sales team
Out of Sequence Check – Make sure all leads are in a follow up sequence with the sales team
Check Reviews – Check for new reviews in Google My Business and Yelp
Set up and Run Feedback Sequence – Follow up with customers to ask how lessons were
Set up and Run Review Sequence – Ask customers to leave reviews on Google and Yelp
Forward Feedback to Instructors – Send feedback from customers to instructors
Order Confirmation – Transfer order details from scheduling and payment systems into our CRM
Follow Up on Unconfirmed Orders – Contact customers and instructors to make sure they talk to each other. 
Reschedule Lesson – Reschedule lessons in the scheduling system if customer and instructor agree to change the date and/or time of a lesson
Processing Refunds – Coordinate with team if refunds are needed
Reassign Lessons – Reschedule lessons to new instructors if original instructor is unavailable
Instructor Accounts Payable – Process lesson completion data to support payroll processing
Daily Sales Reporting – Produce reports for our daily tracking dashboard
Instructor Onboarding – Add new instructors to various software programs that we use
Instructor Offboarding – Remove instructors from various software programs that we use
Import New Applicants – Export job applicants from job boards and import into our CRM
IR Posting Job Ads – Post job ads to various job websites
Instructor Recruiting Market Needs Analysis – Identify markets where we need instructors

Instructor Eligibility Follow Up – Regularly follow up with instructors regarding qualifications and paperwork
Daily Instructor Recruiting and Management Reporting – Produce reports for our daily tracking dashboard

What’s Hard About This Job

Many tasks with lots of details – Combined, the process docs for all of these tasks add up to about 200 pages. You’re going to do a wide variety of things throughout the day and week. This is great if you like variety, but it requires an unusual attention to detail, phenomenal memory, and lots of context switching. 

Multiple Software Systems – You’re going to need to learn how to use 12 different software systems. This is great if you want to get exposed to and experienced with lots of technology, but it can be tough if you have a hard time learning technology. Second secret message: When you type “Pink Elephant”, type it in all capital letters and as one word, like this: PINKELEPHANT 

Customer and Instructor Communications – You’ll need to communicate by email, text, and through phone calls. We don’t have scripts, though we will provide guidelines. This is great if you’re comfortable ad-libbing and improvising, but it can be hard if you’re not natively fluent in English or if you prefer to rely on scripts. 

Tight Deadlines and Time Requirements – Many of these tasks must be completed by a certain time each day or within a certain amount of time after something happens. This is great if you have a consistent schedule and like to leave work at the end of the day, but this job will not work for you if you need flexibility in your schedule. 

Working Remotely – We’re a remote-first company and we want to never have an office. This is great if you like working by yourself in the quiet, but it can be terribly painful if you need the energy of coworkers nearby.
