Are you passionate about contributing to the healthcare industry? We are seeking a dynamic and detail-oriented individual to join our team as a Physical Therapy Administrative Coordinator. This role is essential in ensuring the smooth operation of our therapeutic services by managing various administrative tasks. Key Responsibilities:

– Manage therapists’ schedules and coordinate patient appointments.
– Send appointment reminders via email, text, or calls.
– Reschedule appointments and update scheduling systems.
– Respond to patient inquiries about services, insurance, and policies.
– Facilitate communication between patients and therapists.
– Organize and maintain electronic medical records, ensuring HIPAA compliance.
– Assist with record retrieval for referrals or follow-ups.
– Answer calls, route them to staff.
– Greet and assist patients virtually.
– Prepare documents, presentations, reports.
– Manage email correspondence.
– Enter patient info, treatment notes, billing details.
– Generate basic reports on attendance, billing, etc.
– Contact patients for feedback and post-treatment assistance.
– Maintain a waitlist and notify patients of availability.
– Transcribe therapist-patient interactions, update records.
– Provide emergency contact details and instructions.
– Assist with filing, supplies, equipment maintenance.
– Ensure optimal patient experiences through arrival, payment, and stay.
– Answer all incoming calls, retrieve voicemails, return calls, & promptly reply to emails.
– Verify insurance benefits for Medicare patients.
– Review insurance benefits with patients.
– Ensure patients do not exceed their visit limit according to the insurance plan.
– Update the Active Patient Tracker Spreadsheet.
– Follow up with doctors’ offices on unsigned plan of cares.
