Job Summary:
The Administrative Assistant position is a core team member responsible for helping free up time for the CEO by doing administrative tasks and customer service roles.

In this position, your main responsibility is to provide support as a well-rounded, tech-savvy virtual assistant, who can easily jump into customer service and administrative tasks.

You must have excellent communication skills in managing client expectations and delivering that extra WOW! Factor that keeps clients working with us for years to come. It’s essential that you have a strong knowledge of how our content is delivered and what our client policies are as you will be enforcing them with kindness.

This position is ideal for someone who loves working with people, has exquisite attention to detail, and is looking to establish long-term work with a fast-growing, successful company.

Experience you must have:
– Have worked behind an online program launch before
– Excellent communication skills in managing clients’ expectations
– Excellent customer service
– Minimum of 2 years working virtually in the online business space
– Organizing and responding to CEO requests within 24 hours
– Proficient in Email campaigns and integrations
– Proficiency with major platforms including Google Suite, Zoom, Leadpages, Facebook and Instagram, Voxer, etc
– Proficient in Kajabi as the membership platform or similar platform
– Experience using a project management tool like Asana to manage your work and streamline task-related communications

Client Care and Program Tasks of this Role:
– Monitor, manage and respond to all incoming client communication
– Collaborate with other team members when needed to respond (Social media inboxes, emails, Voxers, etc)
– Direct communication with clients as needed related to receiving testimonials, updating accounts, directing to a resource, etc.
– Support inside Facebook groups during active programs to respond to comments or inquiries
– Helping manage client resources in the membership site or Facebook group guides, such as uploading recordings or workbook pdfs

General Administrative Tasks of this Role:
– Calendar management to run the CEO’s calendar like a boss
– Miscellaneous tasks such as scheduling emails or program reminders, pulling meeting attendance reports, and supporting team initiatives
– Potential for social media posting and scheduling
– Scheduling newsletters and email campaigns in InfusionSoft and ActiveCampaign

Launch Support Tasks of this Role:
– During launches, flexible time to support any additional inbox management needs after hours or over weekends so excited prospects can easily join the program
– Attendance and facilitation during live launch events to take notes, coordinate Zoom speakers, monitor chat and – comments, and help behind the scenes
– Create basics graphics tasks like updating a Facebook banner in Canva and replacing the social accounts during the launch
– Update emails when necessary

Requirements:
– Part-time position at 20-30 hours per week during PST time
– Available for meetings at the US PST time zone as needed
– High-speed internet connection with backup service to minimize interruptions
– Personal computer
– Excellent English verbal and written skills
– Attend weekly team meetings and live launch events
– Meet with the Director of Operations 1:1 regularly
– Collaborate in the project management platform with the team to move things forward and support task completion on time

Compensation:
– $8-$12 USD per hour depending on experience
