Job Overview:

We are currently seeking a detail-oriented and reliable Administrative Virtual Assistant to provide remote administrative support to our team. The Administrative Virtual Assistant will play a crucial role in assisting with various administrative tasks to ensure smooth and efficient operations. The ideal candidate will be highly organized, proactive, and able to manage multiple priorities effectively in a virtual work environment.

Responsibilities:

-Manage and maintain executives’ schedules, including arranging appointments, meetings, and conference calls.
-Handle incoming and outgoing communications, including phone calls, emails, and other correspondence, in a professional and timely manner.
-Organize and maintain digital files, documents, and databases, ensuring they are accurate, up-to-date, and easily accessible.
-Assist with travel arrangements, including booking flights, accommodations, and transportation, and preparing travel -itineraries.
-Prepare and edit documents, presentations, reports, and other materials as needed, ensuring accuracy and adherence to company standards.
-Conduct research on various topics and compile information into summary reports or presentations.
-Coordinate and facilitate virtual meetings, including scheduling, sending invitations, and providing technical support.
-Assist with project management tasks, such as setting up project timelines, tracking progress, and coordinating with team members.
-Perform data entry and update spreadsheets, databases, and CRM systems with accurate information.
-Provide general administrative support, including photocopying, scanning, filing, and other office tasks as assigned.

Requirements:

-Proven experience as an administrative assistant, virtual assistant, or similar role.
-Excellent communication skills, both written and verbal.
-Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
–Proficiency in using productivity tools such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and project management software.
-Ability to work independently and take initiative to solve problems and complete tasks.
-Attention to detail and accuracy in completing tasks.
-High level of confidentiality and discretion when handling sensitive information.
-Reliable internet connection and access to necessary technology for remote work.
-Ability to adapt to changing priorities and work effectively in a virtual environment.
-Positive attitude, professionalism, and a willingness to learn and grow.
