Job Overview: We are seeking a highly organized and detail-oriented Virtual Administrative Assistant to provide comprehensive administrative support. The ideal candidate will be responsible for scheduling and tracking meetings, preparing and distributing meeting agendas and reports, creating follow-up item checklists based on meeting content, and managing email communications.

Responsibilities:

Meeting Scheduling and Tracking:
Efficiently manage and coordinate schedules to schedule meetings and appointments.
Keep track of upcoming meetings, ensuring timely reminders and follow-ups.
Meeting Recording Summary and review:
Review recordings of each meeting with clients. (we record on )
Place a copy of the client transcript in clients meeting folder
Place a copy of the link to the recording in each client meeting folder
Create a list of client and AmbitionCFO to-do’s / follow up items that we will post and track in our practice management system ( )

Agenda and Report Preparation:
Prepare and distribute meeting agendas and reports prior to scheduled meetings.
Ensure that all relevant documents and materials are organized and accessible to participants.

Meeting Follow-up Item Checklists:
Watch videos or read transcripts of meetings to extract action items and key discussion points.
Create and maintain follow-up item checklists for each meeting, ensuring accountability and completion of tasks.

Document Management:
Organize and maintain electronic files and documents in a systematic and accessible manner.
Ensure confidentiality and security of sensitive information.

Calendar Management:
Manage and update the executive’s calendar with appointments, deadlines, and important events.
Coordinate and schedule internal and external meetings.

Research and Reporting:
Conduct research on specific topics as assigned, providing summaries and relevant information.
Prepare reports and presentations based on research findings.

Task Prioritization:
Assist in prioritizing tasks and managing workload to ensure deadlines are met.
Proactively identify opportunities to streamline processes and improve efficiency.

Virtual Team Support:
Collaborate with virtual team members, providing administrative support as needed.
Foster a positive and collaborative virtual work environment.

Ad-hoc Administrative Support:
Assist with special projects and tasks as assigned by the executive.
Handle miscellaneous administrative duties to contribute to the overall efficiency of operations.

Email Management:
Manage and organize email communications, ensuring timely responses and prioritizing important messages.
Filter and categorize emails, flagging those requiring immediate attention.

Qualifications:
Proven experience as a Virtual Administrative Assistant or similar role.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficient in using virtual collaboration tools and office software.
Ability to work independently and proactively prioritize tasks.

Requirements:
High-speed internet connection and a reliable computer.
Familiarity with virtual meeting platforms and communication tools.
Strong attention to detail and accuracy.
Ability to adapt to changing priorities and multitask effectively.
Familiarity with project management tools for task tracking.
Strong interpersonal skills for effective communication in a virtual environment.
Ability to adapt to different time zones if working with a global team.
Knowledge of cybersecurity practices to maintain data integrity and security.
