Job Description

We are seeking a highly motivated and organized Virtual Assistant to join our team in the Short-Term Rental industry. As a VA, you will play a crucial role in daily communication and business operations. If you are a proactive, detail-oriented, and efficient professional, this is the perfect opportunity to contribute to a fast-paced and dynamic business environment.

Key Responsibilities:

Communication Management:
* Respond promptly to inquiries, booking requests, and guest messages through various communication channels (email, Airbnb platform, VRBO, Hospitable, etc.).
* Maintain a high level of guest satisfaction by providing excellent customer service and addressing concerns or issues in a timely and professional manner.
* Coordinate with cleaning and maintenance teams to ensure the property is ready for new guests.
* Daily Video Surveillance (Vivint and Arlo)

Booking and Reservation Management:
* Manage reservations, including guest check-in and check-out processes.
* Keep accurate booking records and maintain an up-to-date availability calendar.
* Ensure pricing and availability are optimized for maximum occupancy and revenue.

Administrative Tasks:
* Handle administrative tasks related to the property, such as managing schedules, sending reminders, and keeping records.
Assist with document management, data entry, and record-keeping.
* Creating Standard Operating Procedures (SOP’s) and experience with Notion, Trello and Slack

Social Media Marketing Tasks
* Daily posts on Facebook, Instagram, etc.
* Daily marketing posts on group pages
* Reaching out to clients looking for housing in the area
* Posting available units

Guest Communication:
* Prepare and send welcome messages, instructions, and directions to guests.
* Assist guests with inquiries, recommendations, and additional services they may require during their stay.

Property Listing Management:
* Assist with creating and updating property listings on various platforms.
* Maintain high-quality photographs and descriptions for listings.

Vendor and Service Coordination:
* Coordinate with third-party service providers, such as cleaning crews, repair services, and suppliers.
* Ensure that all services are delivered on time and meet quality standards.

Qualifications:

* Proven experience in a similar role, preferably in the Short-Term Rental or property management industry.
* Exceptional written and verbal communication skills.
* Proficiency in using property management software and booking platforms.
* Strong organizational and time-management skills.
* Attention to detail and a commitment to accuracy.
* Ability to work independently and prioritize tasks effectively.
* Familiarity with the use of communication tools, scheduling apps, and cloud-based platforms.
*Experience using Trello, Notion, Slack, Airbnb Platform, VRBO Platform
* Experience using Chatgpt

Additional Information:

* This is a remote position, and candidates can work from anywhere with a reliable internet connection.
* The role may require flexibility in working hours to accommodate guest check-ins and check-outs.
* Training will be provided on our specific property management tools and processes.
* Position will start out at $3/hour until probational period is completed. Once the probational period is complete, the hourly rate is subject to increase.
