Our client based in Sydney is a Fast-Growing Hedge Fund Manager. In view of the business growth, our client is looking for a long term Exectuive Assistant to work Sydney hours to help with managing his calendar and emails as well as the day to day admin such as data entry, research, email correspondence and scheduling appointments.

This is a very dynamic role and will be suited for someone that is very switched on, meticulous with their work and has extremely high attention to detail.

Your key responsibilities will include, but not be limited to:

– Manage the owner’s email and diary
– Manage any office/rental issues
– Schedule meeting with clients
– Draft emails
– Prepare meeting notes and write minutes of meetings
– Assist other staff to perform admin work as and when required
– Manage the document and filing System
– Prepare routine reports and summaries as required
– Get quotes, making purchases and bookings online
– Potentially some bookkeeping and preparing invoice
– Implement improvement initiatives to refine the work process
– Perform other ad-hoc duties as assigned by superior
– Perform data entry using excel – so strong Excel skills are desirable

To be successful in this role, ideally, you should have:

– 3+ years of VA/EA working experience ideally with a Western company managing an Executive’s email and calendar
– Good Excel skills – if you have pivot, vlookup and macro experience that would be highly desirable
– Excellent attention to detail – this is a MUST!!!
– Be very responsive
– Honesty – if you are dishonest even a little bit in this role, you will not last
– Great English communication skills
– Highly organized and disciplined adhering to deadlines and deliverables
– Able to work autonomously without supervision
– Being proactive, versatile, think outside the box – you are a natural at improving processes and systems and suggesting better ways of doing things
– Access to reliable and high-speed internet
– Available during Sydney working hours full time (9am – 5pm at least). Occasionally, some urgent ad-hoc tasks may need to be completed and require longer hours. If you are a clock-watcher – PLEASE DO NOT APPLY
