JOB SUMMARY:
The Executive Assistant at GardenCity will play a critical role in ensuring the smooth and efficient operation of our e-commerce business. This multifaceted position is designed to support key administrative and operational functions, enabling the founders and team to focus on strategic growth and mission-driven activities. The Executive Assistant will handle a variety of tasks, including monitoring account health, managing inventory, liaising with manufacturers, overseeing shipping processes, maintaining product listings, and preparing new products for launch. This role requires a highly organised, detail-oriented, and proactive individual who can manage multiple responsibilities and communicate effectively.
KEY RESPONSIBILITIES:
Review Management & Customer Feedback: Check and analyse the number and quality of reviews on our products weekly. Monitor Voice of the Customer, Account Health, and Performance Notifications weekly to ensure top-tier service and compliance.
Alerts and Notifications: Check Smart Alerts on Sellerise weekly to stay updated on any changes that may affect our operations.
Monitor product ranks using Datarova twice a week to ensure they remain competitive.
Inventory Management: Use Restock Pro to check inventory stock levels and make necessary reorders weekly.
Update local inventory on Restock Pro as needed.
Manufacturing Liaison: Communicate with manufacturers regarding new orders, source quotes, and present findings as needed.
Shipping Coordination: Create shipping plans and documents for Ali and Michelle as needed.
Follow up to obtain tracking numbers and enter them on Amazon.
Update estimated shipment arrival dates as needed.
Product Listings: Write and upload bullet points, titles, search terms, and other key listing elements as needed.
Upload A+ content and listing images to enhance product pages.
Order Completion: Organise inspections and manage barcodes upon completion of orders.
Create Systems: Find ways in which the business can operate more efficiently by creating systems that optimise processes.

WORK ENVIRONMENT:
The Executive Assistant role at GardenCity offers a dynamic and flexible work environment designed to support both productivity and work-life balance. COMPENSATION:
GardenCity offers a competitive compensation package designed to attract and retain top talent. The Executive Assistant role includes the following:
HOURLY PAY RATE:
Starting hourly pay rate of $3 to $5 USD, commensurate with experience and qualifications.
ADDITIONAL BENEFITS:
Regular Pay Evaluations: Hourly pay rate will be evaluated every 6 months, with the possibility of pay rises based on performance and contribution.

LOCATION: Fully remote.
WORKING HOURS:
The Executive Assistant role at GardenCity accommodates virtual assistants in various time zones. While the standard work hours are from 1:00 PM to 5:00 PM NZST, Monday through Friday, flexibility is provided for virtual assistants to complete their assigned tasks within their respective time zones.
