We are currently searching for an enthusiastic Virtual Administrative Assistant. Successful candidates will have excellent customer service skills and must be outcome-oriented. The ability to work in a fast-paced environment with strong attention to detail is essential.

• Must be computer savvy and proficient in learning new software – it’s a plus if you are comfortable with Zoho CRM and accounting software
• Must have excellent follow up skills
• Excellent written and verbal communication skills
• Excellent critical thinking skills will be required for this position
• Ability to juggle multiple projects with superb accuracy
• Strong administrative skills
• Exceptional customer service skills, with our customers and internal departments
• Strong sense of urgency and problem-solving skills
Primary Duties
• Answer calls from customers regarding their inquiries
• Setting sales appointments for salespeople
• Scheduling installations and service work
Duties Include
• Document processes for our operations manual
• Make suggestions for improving processes
• Sort project notes that come in from job foreman
• Provide general administrative and clerical support
• Maintain electronic filing system
• Open, sort, and distribute the companies incoming correspondence (email inbox)
• Perform data entry
• Assist with scheduling service technicians and installers
• Assist in resolving any administrative problems
• Prepare and modify documents including correspondence, reports, drafts, memos and emails
You must have exceptional written and verbal English. You must be available to work Monday – Friday from 8am – 4pm. I may need help occasionally on a Saturday or Sunday as well. I need to be able to call, text or email you during those hours and you are ready to respond and get to work.
