Responsibilities:
As a Virtual Assistant for WP Appraisers, you will be responsible for a variety of administrative tasks aimed at ensuring the smooth operation of our appraisal processes. Your key responsibilities will include:
1. Bidding and Order Management:
• Receive and review incoming appraisal orders from clients.
• Analyze order requirements and prepare accurate bids based on established pricing structures.
• Coordinate with the team to gather necessary information for bid preparation.
• Submit bids to clients within specified timeframes and ensure bid acceptance.
• Maintain records of bids and orders using our designated tracking systems.
2. Client Communication:
• Interact with clients to clarify order details, address inquiries, and provide necessary information.
• Maintain a professional and courteous manner while communicating with clients.
• Update clients on the progress of their orders and manage expectations regarding timelines.
3. Administrative Support:
• Assist in managing calendars, appointments, and scheduling for the appraisal team.
• Collaborate with team members to ensure efficient allocation of appraisal assignments.
• Support the creation and maintenance of reports, documents, and databases as needed.
4. Data Entry and Accuracy:
• Accurately enter data from appraisal orders into our systems.
• Verify and cross-reference information to ensure data accuracy and completeness.
5. Task Coordination:
• Collaborate with fellow team members to ensure smooth workflow and timely completion of tasks.
• Maintain clear communication channels to address any bottlenecks or challenges.
6. Continuous Improvement:
• Identify areas for process improvement and suggest solutions to enhance efficiency.
• Actively participate in team discussions to contribute to the growth and development of the firm.
Qualifications:
• Proven experience as a virtual assistant or in a similar administrative role.
• Strong organizational skills with an eye for detail.
• Excellent written and verbal communication skills [In English].
• Proficiency in using communication tools, project management software, and Microsoft Office Suite.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Familiarity with real estate, appraisal processes, or related industries is a plus.
