Our administrative VA will be working mainly on back office tasks, making sure our large family medicine practice runs smoothly. Some marketing and customer service work may be required. Experience with HIPAA is mandatory.
Your daily responsibilities would include:
1. Send a daily report through email, detailing completed and ongoing tasks.
2. Make sure appointments are up to date and calendars are synced. Make sure appointment reminders are sent.
3. Assist with the back-end operations of the CEO’s three companies, including administrative tasks, data entry, and maintaining records.
4. Organize the emails that come in. Remove spam. Respond to email. Forward emails to respective recipients.
5. Research, schedule, book and confirm travel and accommodation’s for the CEO.
To qualify for the position, you will need at least 1 year experience in the following
1. Supporting our CEO of a large family medicine practice
2. Calendar management
3. Appointment setting
We work in a fast paced industry. So it’s really important that our VA would be:
– Well versed in medical terminology
– A fast learner
– Pays close attention to detail
– Follow instructions to the letter
– A self starter
– Proficient with HIPAA compliance
In addition to having excellent English skills , you’ll need to use the applications we listed below. You don’t need to be an
expert in all of them, but you need to be at least familiar with most of them.
– Web research using search engines like Google, IE, Bing, etc
– Microsoft Word
– Microsoft Excel
– Microsoft PowerPoint
– Gmail and other email applications
– Google Forms
– Google Calendar
– Communications apps like Zoom & Google Meet
* This is a full-time position (40 hours per week) starting at $4/hour and will increase to $5/hour after a 90 day probation period.
* Monday through Friday – the hours are flexible.
* You’ll qualify for 3 vacation leaves and 3 sick leaves after the 6 month probation period.
* We honor most Filipino holidays except for All Saints and All Souls Day
You will be trained in our EMR (AtlasMD) & Wave Apps (bookkeeping) as well as any other business specific software that may be necessary to complete your daily work.
You’ll be working with the CEO. As our business grows, you will have the opportunity to manage your own team of VAs to handle administrative and bookkeeping tasks.
