Asbestos Report Writer and Administrator for Acorn Analytical Services (UK)

Location: Philippines (Remote)

Acorn Analytical Services, a UK-based asbestos consultancy, is seeking a dedicated and meticulous Asbestos Report Writer and Administrator to join our remote team. The successful candidate will be entrusted with the crucial task of composing asbestos survey reports alongside managing general administrative duties. This role is pivotal in our daily administration of asbestos survey reports, ensuring that reports are issued correctly, on time and meeting all reporting Key Performance Indicators (KPIs)

Reporting directly to the Reporting Manager (UK based), you will be expected to showcase exemplary professionalism representing Acorn.

Key Responsibilities
• Undertake asbestos report writing with diligence, preparing and reporting findings post survey and lab analysis in alignment with client-specific needs.
• Ensure accurate data reporting of asbestos and non-asbestos samples, questioning surveyors when necessary and conducting thorough checks before final sign-offs.
• Create and email project management packs for all removal works managed by Acorn, ensuring delivery within 10 working days post-site completion.
• Ensuring timely delivery of reports and certificates in PDF format and saving final copies in alphaTracker (inhouse system).
• Assist in all required elements for compliance with Company Procedures, UKAS, HSE and attend necessary training courses and meetings.
• Foster a collaborative environment, offering assistance to staff members to ensure smooth process flows.

Qualifications
• Spoken English must be Good to Great (75% – 80% proficiency).
• Written English must be Great to Excellent (80% – 90% proficiency)
• Proficient in AutoCad and Visio for accurate plan preparation.
• Ability to work remotely and communicate with the UK

Key Performance Indicators (KPIs)
• Timely and accurate report preparation in line with client and company standards and set by the Reporting Manager
• Prompt communication of issues and collaborative resolution.

The position offered is a work from home position, hours are 40 hours per week and from 09:00 – 17:00 standard Philippines time.

Creating an accurate and comprehensive asbestos survey report is a meticulous process that entails reviewing, analysing, and documenting the findings collected by asbestos surveyors.

Here’s a basic overview of how an asbestos survey report is prepared at Acorn Analytical Services, in line with our commitment to excellence and compliance with set guidelines:

Review of Submitted Data:
Initially, the data collected by asbestos surveyors from field inspections is uploaded to our in-house system, Alphatracker. This data forms the foundation of the asbestos survey report.
A thorough review of the submitted data is conducted to ensure that all required elements have been captured accurately. This includes checking for any spelling mistakes or missing information that may affect the accuracy and completeness of the report.

Verification of Recommendations:
The recommendations provided by the asbestos surveyors are then reviewed to ensure they are in line with the established guidelines. This step is crucial to ensure that the advice given is accurate, relevant, and compliant with industry standards.

Report Generation:
Utilising the Alphatracker system, a Microsoft Word document is generated which forms the draft of the asbestos survey report. This document encompasses all the collected data and recommendations reviewed in the previous steps.

Drawing Building Plans:
An essential component of the asbestos survey report is the inclusion of basic building plans which illustrate the areas surveyed and the locations of asbestos-containing materials (ACMs) if any. These plans are drafted using Microsoft Visio or AutoCAD, which allows for precision and clarity in depicting the surveyed areas.

Final Quality Check:
Before the report is finalised, a comprehensive quality check is conducted. This encompasses a review of the text, the recommendations, and the drawings to ensure that everything is accurate and in line with client and regulatory requirements.
Any discrepancies found are rectified, and the report is revised as necessary to ensure it meets the high standards set by Acorn Analytical Services.

Report Finalisation:
Upon satisfactory completion of all the above steps, the asbestos survey report is finalised and prepared for distribution to the client.
