The nature of the work provides a dynamic environment where members of the team work with Account Managers to drive external and internal communications and manage client-level brand sponsorship, client events, and community programs to create a positive impact within the wider community. In this role, you’re expected to:

The Assistant Account Manager provides direct support to the Account Manager.

Responsibilities
Directly supports an AM and generally supports the AM Team following an 8PM – 5AM Philippine Time.

Administrative duties:
o Provide email support (sending follow-up requests on all pending production materials)

o Communicate project memos and updates via email, chat, or system communication platforms.

o Collate and store all project-related files and documents accordingly.

o Liaise between the AM and Production/Creative Team to ensure that all project essentials are on point.

o Prepare, reconcile, and track expense reports through QuickBooks once a project has been approved.

o Request quotes from printers and send files to them.

o Assist in ad-hoc reports and special projects.

Project Quality Assurance duties:
o Coordinate with the production/creative team to ensure that client and brand guidelines are met (image, responsibility lines, etc.)

o Serve as another set of eyes in reviewing production output.

Appropriately assess risk when business decisions are made, demonstrating consideration for the agency’s reputation and safeguarding Optivate, its clients, and assets, by driving compliance with applicable laws, rules, and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct, and business practices, and escalating, managing, and reporting issues with transparency.

As a successful candidate, you’d ideally have the following skills and exposure:

Diploma or its equivalent
Previous office administration experience preferably within a digital marketing agency or similar organization
Highly proficient in Google Suite, and Microsoft Office, with an advanced understanding of Google Mail, Google Drive, MS Word, Excel, and PowerPoint.
Consistently demonstrates clear and concise written and verbal communication skills.
Demonstrated ability to quickly gain command of new systems.
Self-motivated and detail-oriented.
