Job Description

We are seeking a highly organized and service-oriented virtual assistant with a background in real estate transaction coordination. The successful candidate will be responsible for coordinating transactions, assisting agents with administrative tasks, and providing excellent customer service to clients.

Key Responsibilities:

Manage and maintain all transaction paperwork and ensure deadlines are being followed.
Ensure that all documents and contracts are completed accurately and in compliance with legal and regulatory requirements.
Communicate regularly with agents, clients, and vendors to keep them informed throughout the transaction process via phone and email.
Assist with administrative tasks such as scheduling appointments, organizing presentations, and keeping agents’ customer relationship management system current.
Coordinate and assist with marketing efforts and social media management.
Manage agents’ calendars and schedule appointments.
Vendor management

Qualifications:
+2 years experience in real estate as a transaction coordinator
Excellent organizational and time-management skills
Strong attention to detail and ability to multitask
Proficient in Google Suite and generally comfortable with technology
Excellent communication and interpersonal skills; must be comfortable speaking on the phone and sending emails.
Ability to work independently and take initiative.

Working Conditions:

This is a virtual position, and the successful candidate will work remotely. The assistant needs access to a reliable internet connection, phone, and is expected to video conference regularly. This is a full-time position, with the requirement of being available for 40 hours during session and 30 hours off session. The assistant must dedicate their full attention to our job without any other obligations. Some flexibility in scheduling may be required to accommodate the needs of clients and agents.
