We’re seeking an extraordinary individual to join our team as an Assistant Project Manager (virtual role).

Led by founder Selena Soo, we help entrepreneurs get known, get clients, and transform countless lives. In particular, our customers are experts, authors, and coaches in the “live your best life” space (i.e. health & wellness, relationships, and money & career).

As an Assistant Project Manager, you will play a vital role in supporting the planning, execution, and management of projects related to program launches, promotional activities, and media campaigns. You will work closely with the project manager and cross-functional teams to ensure the successful delivery of projects while maintaining high standards of quality.

This is a part-time role for an estimated 20 hours per week.

Responsibilities:

Assist the Project Manager in overseeing multi 6-figure program launches and marketing campaigns, breaking down big projects into accurate and detailed project plans and timelines.

Work closely with the PM in managing copywriters and graphic designers through all the phases of content creation, making sure the content comes in on time, on spec, and at a high quality.

Providing day-to-day project leadership: making sure team members are on-track to hit deadlines – and troubleshooting and resolving issues that put the project timeline at risk.

Managing shifting and competing priorities and resolving conflicts involving scheduling and resources.

Generate regular reports on project status, performance metrics, and key insights.

Conduct post-project analysis to identify areas for improvement and success stories.

Primary tasks include:

Project management of the creative process for all types of content: campaign emails, broadcast emails, Facebook ads, social media posts, sales page copy, landing page copy, site copy, webinar slides, webinar scripts, course materials, graphic design projects, etc.

Build out content creation projects in Asana (milestones, tasks and subtasks), including all steps from conception to completion.

Consistently update and monitor all projects on a daily basis, and communicate updates in Asana.

Proactively identify and mitigate project issues and risks.

Plan and lead team meetings and working sessions, create agendas, capture minutes, assignments and deadlines.

Work closely with the Operations Team to coordinate efforts.

Participate in the testing phase of emails: reviewing emails for content, layout, working links, etc.

You have proven experience working on online program launches, marketing campaigns, and group program fulfillment.

You can deftly manage multiple projects, with dozens of moving parts, in different phases of completion, all at the same time. (And love it!)

You love being responsible for the projects you manage. You want to “own” your project — run it and manage it like it’s your own little kingdom.

You can scan ahead for roadblocks — identify things slipping through cracks, dependencies nobody noticed yet — and solve them early.

You have a built-in sense of urgency. You thrive in a fast-paced organization.

You’re naturally deadline focused. (Your tasks get done, period. And you hold others to the same standard!)

You’re a strong communicator. You pride yourself on responding quickly and clearly.

You’re comfortable working with technology and have experience with automated email software and online marketing.

You have a learning mindset. Don’t know something? You hit up help docs (and good ol’ Google search) before asking around for help.

You’re an independent worker. Nobody needs to check up on you. You’re the one who checks!

Additional Details
We are looking for someone for 20 hours/week
Willing to work Eastern Standard Time hours of 9am – 5pm
This contract position will start in part time with the possibility of extending to full time based on need and performance.
