We are seeking a part or full-time highly skilled and proactive Assistant with expertise in research, CRM management, document creation, and task management. As an Assistant, you will provide comprehensive support to executives and professionals, ensuring their productivity and organization. Your ability to conduct thorough research, manage CRM systems, create documents for executive meetings, and track tasks and to-do lists will be critical to the success of this role. This job will give you an opportunity to not only do the usual assistant tasks but also research, prep for events and customer management
Responsibilities:
– Conduct research on various topics, industries, market trends, and competitors to provide valuable insights and reports.
– Manage CRM systems, including updating and maintaining client/customer information, tracking interactions, and generating reports.
– Create and format documents, presentations, and reports for executive meetings, ensuring accuracy, professionalism, and attention to detail.
– Assist in organizing and scheduling meetings, appointments, and travel arrangements for executives.
– Maintain task lists, prioritize assignments, and track project progress to ensure deadlines are met.
– Collaborate with team members to streamline processes and improve overall efficiency.
– Handle sensitive and confidential information with the utmost discretion and professionalism.
– Provide administrative support as needed, including managing email correspondence, handling phone calls, and performing data entry tasks.
Requirements:
– Proven experience as a Virtual Assistant or in a similar role, preferably with a focus on research and administrative support.
– Exceptional research skills with the ability to gather, analyze, and present information effectively.
– Ablility to learn in CRM systems (e.g. hubspot), document creation software, and task management tools.
– Strong organizational and multitasking abilities, with a keen attention to detail.
– Excellent written and verbal communication skills.
– Proactive mindset, self-motivated, and able to work independently with minimal supervision.
– High level of professionalism and ability to handle confidential information.
– Flexible and adaptable to changing priorities and able to meet tight deadlines.
