Job Description – Assistant Team Leader (Management Level)
About Us:
OptimalBooks is a property management support company that works with real estate investors and property managers across North America, helping them achieve Time, Financial, and Location freedom through the implementation of remote property management techniques with back-office management and fulfillment.
Our Leadership Team is made up of Ex-Big 4 Accounting and Consulting professionals as well as property managers who have experience managing commercial and residential portfolios for the likes of Blackstone and Prologis as well as your local property management firm.
About the Role:
As an Assistant Team Leader (Management Level), you will be responsible for the work quality and efficiency of a group of Assistant Property Managers, supporting them with your real estate and property management expertise as well as group and one-on-one led training.
You will interact on a daily/weekly/monthly basis with Senior Management regarding the performance of your team members as well as potential opportunities to grow our relationship with the client.

We are looking for someone who is strong technically, but also has soft skills including being driven, proactive, detail-oriented, calm under pressure, and an empathetic leader who can rally a team behind a common goal.
Primarily Responsibilities:
-Responsible for the day to day activities of a team of Virtual Assistants (Assistant Property Managers) to include the work quality, efficiency of work completed, and reporting.
-Review timely submission of end of shift reports. Review end of shift reports for accuracy, work volume, capacity to complete more tasks, and coordination between team members if there are multiple virtual assistants working on the same team.
-Serve as the point person for team members to ask questions about both work and personal related issues.
-Meet with U.S based clients to discuss work product of assigned team member/s and discuss upcoming projects and how we can further support them.
-Meet with clients to help implement new software and/or new modules within the software to help them streamline their business processes.
-Mentor and coach team members and review work as-needed.
-Oversee onboarding and training of new team members and other staff as required.
-Provides ongoing training to the department. Develop training materials and various forms.
-Maintain monthly cadences for clients and prepare monthly team member productivity reports for management, and other reports, as needed.
-Coordinate updates, write procedures, and develop templates as needed.
-Exercise authority of a manager concerning staffing, performance appraisals, promotions, salary recommendations, performance management and terminations.
-Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the
-Company’s Risk Appetite. Design, implement, maintain and enhance internal controls to mitigate risk on an ongoing basis.
-Identify risk-related issues needing escalation to management.
-Complete other related duties as assigned.
-Record client related trainings with assigned team members. Develop client-specific training material for each client.
Ultimately, as the Assistant Team Leader, you should lead by setting a good example, engage the team to achieve goals, ensure smooth team operations and push the team towards meeting our KPIs.
Ideal Qualifications:
– 3-4+ years in a real estate or property management role using property management software (Buildium, Appfolio, Yardi, RentManager, etc.)
-Experience completing both Tenant & Maintenance Coordination as well as Leasing oriented tasks.
-1-2 years in a leadership role with added responsibilities reporting to management
-Sense of ownership and pride in your performance and its impact on the company’s success
-Able to work with minimal supervision
-Great interpersonal and communication skills
-Team player, driven, proactive, detail-oriented, calm under pressure, empathetic
