Job Summary:

The Bid Manager will continuously monitor various sources for RFPs, EOIs, and other business opportunities relevant to the company’s services. This involves conducting thorough research to understand the requirements and scope of each opportunity, focusing on clients in North America who need call center support and back-end administrative work. Maintaining a pipeline of potential opportunities and developing a comprehensive bid strategy in collaboration with senior management and key stakeholders is a crucial part of the role. The Bid Manager will manage the entire bid response process independently, ensuring timely and high-quality submissions, and coordinating with senior management for insights and approvals throughout the bid process.

In addition to writing and editing proposals, the Bid Manager will ensure all proposals meet the client’s requirements and comply with relevant standards and guidelines. Detailed quality checks will be performed to ensure accuracy and consistency of the bid content, addressing and mitigating any risks associated with the proposal process. Building and maintaining strong relationships with internal and external stakeholders is essential. The Bid Manager will facilitate communication between the bid process and senior management, providing regular updates and reports on bid progress and outcomes.

Post-submission activities include managing post-submission clarifications and negotiations as required, conducting debriefs and post-bid reviews to capture lessons learned and improve future bid processes, and maintaining records of bid responses and outcomes for future reference.

Key Responsibilities:

Identify Opportunities:

Monitor various sources for RFPs, EOIs, and other business opportunities relevant to the company.
Conduct thorough research to understand the requirements and scope of each opportunity.

Bid Management:

Develop a comprehensive bid strategy in collaboration with senior management and key stakeholders.
Manage the entire bid response process independently, ensuring timely and high-quality submissions.
Coordinate with senior management for insights and approvals throughout the bid process.

Proposal Development:

Write and edit proposals, ensuring clarity, compliance, and persuasiveness.
Customize proposals to meet the specific requirements of each RFP/EOI.
Gather and incorporate input from various departments to ensure a comprehensive and competitive proposal.
Compliance and Quality Assurance:
Ensure all proposals meet the client’s requirements and comply with relevant standards and guidelines.
Perform detailed quality checks to ensure accuracy and consistency of the bid content.
Address and mitigate any risks associated with the proposal process.

Stakeholder Engagement:

Build and maintain strong relationships with internal stakeholders.
Facilitate regular communication between the bid process and senior management.
Provide regular updates and reports on bid progress and outcomes to senior management.

Qualifications:

• Bachelor’s degree in Business, Marketing, Communications, or a related field.
• Proven experience track record in bid management, proposal writing, or a similar role.
• Strong project management skills with the ability to handle multiple deadlines and priorities.
• Excellent written and verbal communication skills.
• Attention to detail and strong organizational skills.
• Ability to work collaboratively with cross-functional teams.
• Proficiency in Microsoft Office Suite and proposal management software.

Preferred Qualifications:

Prior Experience in the Field
Knowledge of bid and proposal best practices and standards.
Certification from a recognized bid management or proposal writing organization
