Work Description for Customer Service Representative with Altus Investment Group.

This position is for a Bilingual (English and Spanish) Customer Service Rep with outstanding written and oral communication skills.

We are a Real Estate Investment Organization and focus mainly on residential properties as well as building a rental property portfolio that encompasses not only single-family residences but multifamily apartment building as well. Additionally, our management division that maintains our properties as well as managing and maintaining properties for other property owners. The following is an outline / description of tasks that need to be accomplished.

The onboarding process will involve calls, video chats, screen shares, zoom calls, loom videos, etc. to help you visualize what we would like to do and how to accomplish the tasks and have fun in the process.

Hours of operations – 9:00 A.M. to 6:00 P.M. CST (1 hour Lunch)

Weekly schedule – Monday through Friday.

Understanding that this business is not unique to having changes come up throughout the day and the need to be agile and adjust to handle the items that come up. We are looking for a team player that possesses and outstanding positive attitude that will communicate with people in a positive, caring, and kind manner. There may occasionally be the need to work outside of the work schedule listed above.

Aside from the items listed below there will be other needs such as contacting people on our behalf. We will be giving you direction on these tasks.

Daily work segments (Running your day in segments):
There will be daily and weekly goals as well as instructions on which tasks will be “Urgent” or have more urgency to them. Aside from these “Urgent items”, we are looking to have your days broken up into segments so that we are making progress on multiple items simultaneously.

Coordination with the property management personnel in the field.
You will be communicating with Altus representatives as well as vendors to keep projects on track. This includes ordering materials, setting up appointments, discussing items needed to be set up for the team, etc.

This customer service role entails the following:
• Taking incoming calls from current tenants, prospective tenants that want to see our residences for rent for leasing in addition to speaking with vendors to coordinate maintenance.
• Making calls to tenants to set up appointments / give notice for our service personnel to access the unit(s) to make repairs or perform standard maintenance.
• Contacting service personnel to set up a time to coordinate with the tenant.
• Utilizing “Buildium” as well as other software to make updates and notes in the property record as well as tenant record.
• Maintaining – updating expenses in the software system.
• Coordinate with maintenance staff.
• Being proactive to ensure that we resolve issues right away.
• Updating listings, and handling lease renewals.
• Creating work orders in the software to follow through on the system

Ordering materials – this portion of the job will have several requirements, such as:
Communicating with the people in the field (Construction managers)
Using online portals for ordering materials from locations such as:
• Home Depot
• Menards
• Lowes
In addition to the locations mentioned above there will be emphasis placed on sourcing materials from other locations where materials can be acquired at a more economical price level, speedy deliveries as well as add a certain artistic flare for certain projects.

Scope of work assignments:
Creating / monitoring / updating scopes of work, daily.
There is an excel sheet that has been created and adapted to any property. There are few things that this sheet accomplishes.
The scope sheet helps to identify items that need to be done for the project. Additionally, the sheet has a tracker built in that help to identify items that have been:
• Started
• Ordered
• In process
• Completed
By incorporating the SKU list into the scope of work, the scope also builds a material cost to assist in budgeting as the costs auto total at the bottom of the sheet.
