We are seeking a highly organized and experienced Executive Assistant to support the CEO of our digital marketing agency. As an Executive Assistant, you will play a crucial role in ensuring the smooth functioning of the CEO’s day-to-day activities, managing travel arrangements, and providing administrative support. You will be an integral part of our team, working closely with various departments and stakeholders to ensure efficient operations and effective communication.

Responsibilities:

Assist the CEO in managing daily schedules, appointments, and travel arrangements.
Create comprehensive travel itineraries and ensure all logistics are in place.
Coordinate and schedule meetings, both internal and external, and maintain the CEO’s calendar.
Take accurate and detailed meeting notes, highlighting action items and follow-ups.
Conduct research, gather information, and prepare reports and presentations as needed.
Assist with project management tasks, ensuring deadlines are met and deliverables are on track.
Act as a liaison between the CEO and internal/external stakeholders, maintaining effective communication.
Handle confidential and sensitive information with discretion and professionalism.
Perform general administrative tasks, such as managing correspondence, filing documents, and organizing office supplies.
Qualifications:

Previous experience in digital marketing is essential to understand the industry and support the CEO effectively.
Exceptional organizational skills with a keen eye for detail and the ability to prioritize tasks efficiently.
Proficient in creating travel itineraries and managing the day-to-day activities of a busy executive.
Excellent note-taking skills, ensuring meeting minutes are comprehensive and accurate.
Strong project management abilities are highly desirable.
Bilingual proficiency in English and Spanish is required to support communication needs within our international team.
Proactive problem-solving skills and the ability to handle multiple tasks simultaneously.
Strong interpersonal and communication skills to interact effectively with various stakeholders.
High level of professionalism and discretion when handling sensitive information.
Proficiency in using productivity tools and software such as Microsoft Office Suite, project management platforms, and collaboration tools.

Ability to adapt quickly to changing priorities and work in a fast-paced environment.
