Job Description

We urgently seek a dynamic, diligent and professional Administrator with very strong administrative and organisational skills to assist our fast-paced and expanding business.
You will provide administrative support to ensure smooth running of the department including but not limited to organising and monitoring works, ensuring timely completion of compliance checks remaining within legal parameters, planning cyclical maintenance, responding to emails and requests from stakeholders, taking minutes of meetings, preparing reports and documentation as requested by management.
The hours are Mon-Fri 9.00am – 5.00pm UK time, with one hour break each day.
Salary between 45,000 – 50,000 PHP depending on experience.

Key Responsibilities
• Providing first class support and customer service at all times via phone and email
• Keeping records of all activity on the database including client correspondence, works orders, quotes, and call notes – ensuring the database is updated and accurate.
• Monitoring emails, activities, works orders, database reports and obtaining regular status updates to
• ensure service level KPIs are kept (e.g. repairs times, sales packs turnaround, email/letter responses, etc.)
• Ensuring only approved contractors are instructed and contractors database is updated with latest
• insurance and accreditation renewals. Regularly monitoring service delivery of contractors.
• Assisting with statutory consultation procedures under supervision of management.
• Assisting with site visits/inspections reports and completed works.
• Updating leaseholder and tenant information, ensuring data is accurate.
• Liaising with solicitors, accountants, architects, insurance brokers and other professional service providers
• to ensure any ongoing matters are dealt with in a timely manner.
• Demonstrating tact and diplomacy in handling sensitive matters.
• Remaining compliant with data protection governance and confidentiality.
• To handle all issues arising in an efficient and professional manner
• To attend training sessions or meetings as required by management.

Requirements and Skills
• Confident communicator with excellent English (written and oral) Good team player with ability to multi task and work to deadlines Have an inquiring mind and willingness to learn new skills
• Good work ethic – punctual and reliable
• Computer literate with good knowledge of Word, Excel and Outlook
