Job Summary:

We are seeking a part-time Virtual Assistant with bookkeeping expertise, particularly in Xero, to assist in maintaining our financial records and providing administrative support. The successful candidate will be detail-oriented, organized, and capable of working independently.

Key Responsibilities:

Bookkeeping: Maintain accurate financial records using Xero, including data entry, reconciliations, and generating financial reports.

Accounts Payable and Receivable: Manage invoices, process payments, and ensure timely collection of receivables.

Bank Reconciliations: Regularly reconcile bank and credit card statements to ensure accuracy and identify discrepancies.

Payroll Support: Assist in processing payroll and ensuring compliance with tax and labour regulations.

Financial Reporting: Prepare monthly, quarterly, and annual financial statements to provide insights into the company’s financial health.

Expense Tracking: Monitor and categorize expenses, helping to identify cost-saving opportunities.

Tax Preparation: Collaborate with tax professionals to gather necessary documents and information for tax filings.

Additional Tasks:

In addition to the core bookkeeping responsibilities, a part-time VA with Xero experience can also take on various administrative tasks, including:

Email and Calendar Management: Assist in managing emails, scheduling appointments, and ensuring efficient time management.

Data Entry: Enter and manage data in various systems and spreadsheets as needed.

File and Document Management: Organize and maintain digital and physical files and documents.

Travel Arrangements: Help in arranging travel plans and accommodations for business trips.

Customer and Vendor Communication: Act as a point of contact for customers and vendors, addressing inquiries and requests.

Online Research: Conduct internet research to gather information or data for various projects.

Meeting Preparation: Prepare meeting agendas, materials, and minutes as required.

Qualifications:

Previous experience in bookkeeping and proficiency in Xero.
Knowledge of accounting principles and financial best practices.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Attention to detail and a commitment to data accuracy.
Ability to work independently and meet deadlines.
Working Hours:

This is a part-time role, with an expectation of approximately 10 hours per week, with flexibility in scheduling.
