We are seeking a skilled and meticulous Virtual Assistant, certified/proficient in Xero, for a small construction company bookkeeping needs. The ideal candidate will undertake various bookkeeping tasks to ensure accurate financial record-keeping to meet New Zealand Tax law and support the smooth financial operations of our organization.
Responsibilities:
• Efficient data entry, supplier invoices and receipts ensuring accuracy and completeness in Xero accounting software.
• Invoicing: Prepare and issue invoices, ensuring accuracy and compliance with established procedures.
• Invoice allocation to jobs: Accurately assign and allocate invoices to corresponding projects within Xero.
• Back costing: Maintain detailed records to facilitate cost tracking for on billing and analysis for past projects or expenses.
• Bank reconciliation: Regularly reconcile bank accounts and resolve discrepancies promptly.
• GST returns: Prepare and process GST returns in compliance with New Zealand Tax law requirements.
• Collaborate with team members and management to streamline financial processes and, reporting.
Requirements:
• Proficiency in Xero accounting software is essential.
• Experienced in bookkeeping, particularly in data entry, invoicing, back costing, invoice allocation to jobs, bank reconciliation,
and GST returns.
• Strong understanding of New Zealand Tax law compliance.
• Preferably certified for Xero with a demonstrated understanding of its advanced functionalities.
• Strong attention to detail and accuracy in handling financial data.
• Excellent organizational and time-management skills to handle multiple tasks efficiently.
• Ability to work independently and maintain confidentiality of financial information.
• Strong communication skills to collaborate effectively with team members.
Additional Skills (Preferred, but not mandatory):
• Familiarity with excel spreadsheets for collation of costs for back costing and project breakdowns to support project
claims.
• Familiarity with Buildertrend would be a plus leading to more work.
• Knowledge of basic accounting principles.
• Experience in managing financial reports and providing insights based on financial data.
