Job Description

We are seeking a highly organized and detail-oriented Virtual Assistant specializing in financial services to join our team. The ideal candidate will be responsible for handling various financial tasks including bookkeeping, invoicing, payroll management, commission tracking, reconciliation, and financial reporting. As a crucial member of our team, you will ensure accurate and timely financial transactions while maintaining compliance with company policies and procedures.

Responsibilities:

Bookkeeping: Maintain accurate records of financial transactions, including but not limited to income, expenses, and bank transactions. Organize financial data in an efficient and systematic manner.

Invoicing: Generate and send invoices to clients/customers promptly. Monitor and follow up on outstanding invoices to ensure timely payments.

Payroll Management: Process payroll accurately and on time, including calculating wages, deductions, and taxes. Handle payroll queries and resolve any discrepancies.

Commission Tracking: Track and record commissions earned by employees or sales agents. Ensure commissions are calculated correctly and distributed in a timely manner.

Reconciliation: Conduct regular reconciliations of financial accounts, including bank statements, credit card statements, and vendor accounts. Identify and resolve any discrepancies or issues.

Financial Reporting: Prepare financial reports, including balance sheets, income statements, and cash flow statements. Analyze financial data and provide insights to support decision-making processes.

Administrative Support: Assist with other administrative tasks as needed, including but not limited to data entry, filing, and correspondence management.

Requirements:

– Proven experience as a Virtual Assistant or in a similar role, preferably in a finance-related field.
– Strong knowledge of accounting principles and practices.
– Proficiency in Quickbooks accounting software and MS Office Suite (particularly Excel).
– Excellent organizational skills and attention to detail.
– Strong communication and interpersonal skills.
– Ability to work independently and manage multiple tasks simultaneously.
– High level of integrity and confidentiality when handling sensitive financial information.
– Bachelor’s degree in Accounting, Finance, or related field (preferred but not required).
– Availability to work flexible hours, if needed, to accommodate different time zones or urgent tasks.
