We are seeking a detail-oriented and organized Virtual Assistant with bookkeeping experience to join our team. As a Virtual Assistant, you will be responsible for managing various administrative tasks related to billing updates, following up with late payers, processing cancellations, onboarding new hires, and handling contractor payments. This position offers a competitive hourly rate of $5 to $10 per hour depending on experience. Must be available at least 3-4 hours between 7am – 11am PST.
Responsibilities:
Billing Updates:
Manage the billing Slack channel and ensure accurate and timely updates of customer billing information.
Utilize QuickBooks (QB) and Zoho Subscriptions to follow up with late payers
Keep a detailed spreadsheet with thorough notes, tracking each attempt made to reach out to late payers
Apply late fees as needed and tell the team when to suspend services
Process cancellations:
Process cancellations by updating relevant systems and databases.
Update tickets, stop billing, add negative deals, and ensure accurate updates in the CRM and audit records.
Collaborate with the team to schedule the deletion of data associated with cancellations.
Onboarding New Hires in Paylocity:
Assist in the onboarding process of new hires using the Paylocity platform.
Ensure accurate and complete entry of employee data, documentation, and payroll information.
Pay Contractors:
View TopTracker screenshots of work.
Update spreadsheets with payment records.
Record contractor payments accurately in QuickBooks.
Facilitate payment to contractors.
Manual Processing of New Customer Invoices:
Manually generate and process new customer invoices.
Add credit card information and associate it with their recurring subscription.
Requirements:
Proven experience as a Virtual Assistant with bookkeeping responsibilities.
Proficiency in using QuickBooks for billing and payment processing.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and prioritize effectively.
Familiarity with CRM systems and data management.
Experience with Paylocity or similar payroll platforms is a plus.
Proficiency in using spreadsheets for data entry and record keeping.
Knowledge of PayPal or similar payment platforms is desirable.
