Job Description

Hello Living has a database of landlords and operators who can provide Serviced Accommodation in the UK with over 200 apartments, houses and apart-hotels to let-out on a short, mid and long term basis.

We are currently looking for a highly motivated and skilled Booking Co-Ordinator to be part of a dynamic team who is dedicated to providing exceptional guest experiences and can support the operational function of our business and grow with the company.

Some roles & activities include the following but are not limited to:

Job Responsibilities:
Respond to guest enquiries and manage guest bookings via phone, email, and booking platforms
Handle guest communications before, during, and after their stay, ensuring a high level of satisfaction.
Quality assurance of booking data
Managing any issues that the client has with the accommodation or the landlord/operator has with the client.
Data entry (MS Excel / Google Sheets)
Reconcile bank transactions
Produce marketing material
Creating social media content for Instagram, LinkedIn and Facebook (including reels, stories and posts)
Assist in developing and implementing strategies to increase guest retention and repeat visits.
Raising invoices and chasing payments
Issuing credit notes where required (e.g. for partial refunds, refund for deposits etc)
Checking payments have been received from clients
General booking keeping
Send out weekly mailshots to our customer base
Supporting the Sales Guys on any other additional work that will help them close deals

Skills / Qualifications:

Mandatory:
Minimum 2 years+ work experience in a similar Booking Co-Ordinator or Administrator role
Exceptional customer service skills, ideally in the hospitality industry (but not essential)
Excellent communication skills in English, both written and spoken
Proficient in Microsoft Excel skills
Attention to detail and accuracy
Able to handle customer questions and issues in real time
Respond to customers in a timely manner
Strong organizational and multitasking abilities.
Ability to work independently and as part of a team.
Experience in creating social media content, including reels, stories and posts

Optional:
Previous work experience in a similar Serviced Accommodation/Airbnb industry
Able and willing to contribute to improvements in processes
Able to prioritize workload to ensure smooth running of the business
Knowledge of Free Agent software or other similar invoice processing software
Previous experience with Hubspot software or a similar CRM system
Experience in creating marketing material from Canva or a similar software
