We are seeking a team player who has experience with quickbooks and using formulas in Excel spreadsheet.

Here are the job responsibilities:
1. Accounting System Mastery:
– Successfully set up and maintain the firm’s accounting software, ensuring accurate recording of financial transactions and streamlined financial processes.

2. Efficient Transaction Recording:
– Consistently record day-to-day financial transactions with precision, including client billings, expenses, and vendor payments, maintaining a high level of accuracy.

3. Bank Reconciliation Expertise:
– Skillfully conduct regular bank reconciliations, ensuring financial statements reflect accurate balances and promptly addressing any discrepancies.

4. Client Invoicing Excellence:
– Generate client invoices promptly and accurately based on billable hours or agreed-upon billing structures, optimizing the billing process.

5. Proactive Accounts Receivable Management:
– Proactively monitor and follow up on outstanding client payments, successfully ensuring timely collections and minimizing overdue accounts.

6. Effective Collection Calls and Correspondence:
– Conduct collection calls and correspondence with professionalism and diplomacy, resulting in successful resolution and improved client relationships.

7. Strategic Payment Plans:
– Collaborate with clients to establish reasonable payment plans when necessary, fostering fair resolutions and maintaining positive client relations.

8. Transparent Communication with Attorneys & Leadership:
– Provide regular updates to attorneys on outstanding receivables (normally via Clickup system), facilitating transparent communication and collaborative efforts to address financial concerns.

9. Resolution of Billing Disputes:
– Effectively resolve billing disputes with attorneys and clients, ensuring a swift and amicable resolution to maintain positive client relations.

10. Detailed Collections Records Maintenance:
– Maintain detailed records of all collection efforts, including comprehensive communication history and successful agreements with clients.

11. Insightful Reporting on Collection Metrics:
– Generate insightful reports on collection metrics, offering valuable insights into the effectiveness of collection efforts and identifying areas for improvement.

12. Strategic Legal Action Coordination:
– Collaborate with attorneys and management to strategically determine when legal action is necessary for challenging collections, adhering to legal and ethical guidelines.

13. Comprehensive Expense Tracking:
– Track and categorize all expenses meticulously, ensuring accurate documentation and providing a clear overview of the firm’s financial health.

– Process payroll time and accurately for law firm staff, ensuring compliance. We use and

17. Timely Notify Assigned Team Member
Timely notify team member that a client paid when they recently signed with us (via win chat and Clickup file)

Timely notify client if late on payment (likely if not on autopay) or payment failed
19. Strategic Financial Analysis:
– Conduct strategic financial analysis, identifying trends and assessing profitability to provide valuable insights for decision-making and resource allocation.

20. Collaborative Budgeting Assistance:
– Collaborate effectively with firm management in creating and monitoring budgets, contributing to cost control and resource allocation.

21. Trust Account Excellence:
– Successfully manage client funds in trust, ensuring compliance with trust accounting rules and maintaining accurate trust account records.

22. Efficient Record Retention System:
– Establish and maintain an efficient system for retaining financial records, ensuring compliance with legal and regulatory requirements.

23. Clear Communication with Attorneys and Management:
– Provide regular, clear financial updates and reports to attorneys and firm management, addressing financial concerns and questions proactively.

24. Positive Client Relationship Management:
– Maintain positive and professional relationships with clients during the collection process, preserving the overall client relationship and fostering satisfaction.

25. Collaborative Approach with Legal Team:
– Collaborate seamlessly with the legal team to understand the timing of when to collect money for each client’s case, tailoring collection efforts accordingly for successful outcomes as some clients may want an update on their case when you collect information.

26. Productive Monthly Collection Meetings:
– Actively participate in productive monthly collection meetings with management, contributing insights, discussing strategies, and addressing challenges for ongoing improvement.

27. Vendor Relationship Management:
– Successfully manage relationships with vendors, ensuring timely payment of invoices and negotiating favorable terms when possible.
