About Us:
Coveted Casitas operates a successful short-term rental business, providing high-quality accommodations to travelers. We are seeking a skilled and experienced Virtual Assistant Bookkeeper/Accountant to join our team for an initial full-time cleanup phase, with the possibility of transitioning to a part-time role on an ongoing basis.
Responsibilities:
Cleanup Phase (Full-Time):
– Collaborate with the team to review historical financial records for short-term rental properties.
– Use QuickBooks Online and Bnbtally to meticulously reconcile, categorize, and organize past transactions.
-Identify and rectify any inconsistencies, discrepancies, or inaccuracies in the financial records.
– Ensure accurate allocation of expenses, income, and other financial transactions related to property management.
Opportunities for Longer-Term Employment and Additional Work:
If the cleanup phase is successful and there is a good fit between the candidate and our team, there is potential to continue the role on a part-time basis for ongoing maintenance. Additionally, there may be opportunities to assist with financial tasks for other smaller businesses within our group.
Ongoing Basis (Part-Time):
– Maintain and update financial records for ongoing short-term rental transactions using QuickBooks Online and Bnbtally.
– Reconcile Airbnb transactions with bank statements and other financial records on a regular basis.
– Accurately categorize and allocate expenses and income associated with property management, maintenance, guest services, and more.
– Monitor accounts receivable and accounts payable, ensuring timely payments and collections.
– Prepare and submit monthly, quarterly, and annual financial reports for management review.
– Collaborate with property managers and other team members to ensure proper documentation of financial transactions.
– Fill out monthly short-term rental permit reports as required by local regulations.
– Create and send monthly statements to property homeowners, detailing rental income and expenses.
– Process payroll for employees and contractors, ensuring accurate and timely payments.
– Additional duties as needed
Requirements:
– Proven experience as a bookkeeper or accountant in the short-term rental or hospitality industry.
– Proficiency in QuickBooks Online and familiarity with Bnbtally integration.
– Solid understanding of accounting principles and practices.
– Strong attention to detail and accuracy in data entry and financial record-keeping.
– Excellent communication skills to liaise with team members, property managers, and other stakeholders.
– Ability to work independently and manage tasks remotely in a virtual environment.
– Organizational skills to handle multiple properties, transactions, and administrative tasks.
– Problem-solving skills to address discrepancies and resolve financial issues.
– Discretion and confidentiality when handling sensitive financial information.
Preferred Qualifications:
– Relevant degree in Accounting, Finance, or a related field.
– Professional certification (e.g., Certified Bookkeeper, QuickBooks Certified) is a plus.
– Previous experience with property management accounting software.
– Experience with tax preparation and compliance in the short-term rental industry.
