We seek an experienced Bookkeeper to maintain the business accounts for a UK-based Property Rental Agent, prepare landlord payments, and keep accurate records of tenant and property ledgers.
The business in the UK has been trading for nearly 20 years and is looking to work with someone who can handle bookkeeping tasks, manage payroll-related responsibilities, and ensure compliance with UK tax regulations, including PAYE, VAT, and corporation tax.
Initially, the role would be part-time but could be full-time to include other administrative functions maintaining the integrity of the property management software data.
Responsibilities
1. Conduct thorough and accurate bookkeeping for the property management companies, including reconciling accounts, managing transactions, and maintaining well-organized records.
2. Ensure timely and accurate payroll processing for the lettings agency. Prepare VAT returns for the VAT-registered lettings agency.
3. Provide monthly financial reports, including balance sheets and income statements, for the business.
4. Forecast cash flow for the business and assist in budgeting and financial planning.
5. Prepare daily landlord payments and reconcile client account balances.
6. Coordinate with team members and property managers to address financial queries and provide support as needed.
7. Stay updated with UK tax regulations, particularly those related to property businesses, and ensure compliance.
8. Analyse financial data to identify cost-saving opportunities and provide insights for better financial management.
9. Collaborate with the property companies’ teams to streamline bookkeeping processes and improve efficiency.
10. Handle additional administrative tasks related to the property businesses as required.
Requirements:
1. Proven experience in bookkeeping and handling financial records, preferably for property-related businesses.
2. Proficiency in using Xero to manage multiple company accounts.
Working knowledge of UK tax regulations, including PAYE, VAT, and corporation tax.
3. Experience in processing payroll for small to medium-sized businesses.
4. Excellent organisational skills and attention to detail to ensure accurate financial data.
5. Strong analytical abilities to forecast cash flow and assist in financial planning.
6. Effective communication skills to collaborate with team members and property managers.
7. Ability to work independently and manage multiple tasks efficiently.
8. Some flexibility in working hours to accommodate different company schedules.
9. Previous experience as a virtual assistant or bookkeeper for multiple businesses is a plus.
10. Provide the name of your first pet.
11. Resourcefulness and the ability to find answers to problems that will be presented is a key skill.
12. Fluent in the English language to discuss all aspects of the role.
Performance Assessment:
The Virtual Assistant – Bookkeeper’s performance will be evaluated based on the following criteria.
1. Accuracy and timeliness in maintaining financial records and reconciling accounts.
2. Efficient handling of payroll processing for all companies.
3. Compliance with UK tax regulations and timely VAT calculations and corporation tax calculations.
4. Effectiveness in providing financial reports and cash flow forecasts.
5. Communication and collaboration with team members and property managers.
6. Contributions to streamlining bookkeeping processes and improving overall financial management.
Salary and Growth Potential:
– Initial workload: Approximately 3-6 hours per day
– Hourly rate: $7-$10 per hour (subject to negotiation).
– Payable weekly.
– Competency-based growth potential: As competency is proven, additional responsibilities and workload up to 30 hours per week will be offered with potential rate adjustments.
