We are currently seeking a detail-oriented and organized individual to join our team as a Bookkeeper and Personal Assistant. In this dual role, you will have the opportunity to contribute to both the financial operations and day-to-day administrative tasks of our company.
Job Overview: As the Bookkeeper and Personal Assistant at Nspir8 you will play a vital role in ensuring the smooth financial management and administrative operations of the organization. You will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and providing essential support to our leadership team.
Key Responsibilities:
Bookkeeping:
• Manage daily financial transactions, including invoicing, expense tracking, and reconciling accounts.
• Maintain accurate and up-to-date records of financial transactions using accounting software.
• Prepare and process invoices, receipts, and payments in a timely manner.
• Reconcile bank statements and credit card transactions to ensure accuracy.
Financial Reporting:
• Assist in preparing financial reports, including profit and loss statements, balance sheets, and cash flow statements.
• Collaborate with external accountants to provide necessary financial information for tax filing and audits.
• Monitor and analyze financial data to identify trends and make recommendations for cost-saving measures.
Administrative Support:
• Manage and organize the executive’s calendar, schedule appointments, and coordinate meetings.
• Screen and manage phone calls, emails, and other forms of communication.
• Assist in preparing presentations, reports, and documents as needed.
• Handle travel arrangements and accommodations for company executives.
Personal Assistance:
• Provide support to company executives with personal tasks and errands, as required.
• Maintain confidentiality and professionalism in handling personal and sensitive information.
Qualifications:
• Proven experience in bookkeeping and financial record management.
• Proficiency in accounting software such as Xero, or MYOB similar platforms.
• Strong organizational skills and attention to detail.
• Excellent communication skills, both written and verbal.
• Proficiency in Gmail, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle multiple tasks and prioritize effectively.
• Strong problem-solving skills and the ability to work independently.
• Discretion and the ability to handle confidential information with integrity.
