Job Summary
We are looking for a Part-Time Admin Assistant / Bookkeeper to help run the operations of a real estate brokerage & property management company based in New York.

Responsibilities:

Accounting / Bookkeeping:
1. Maintain Systems (Associations = CINC / Rental Properties = Rentvine)
2. Keep accurate information of Owners, Tenants, Contractors, Bills, Chart of Accounts, Journal Entries,
3. Financial Statements (Income & Expense, Balance Sheet), etc.
4. Upload Invoices from Contractors (Code to proper Client and GL Acct)
5. Ensure all Residents are paying on time. Send Past Due Statements, as needed
6. Perform Bank Reconciliations
7. Create Annual Budgets in Spreadsheets and Upload to Accounting Systems
8. Process Monthly Financials for all properties – conduct Variance Analysis to ensure accuracy
9. Chart of Accounts: Create, Maintain, Update as needed

Basic Marketing
1. Maintain CRM & Marketing Campaign Systems: LeadSimple (Prospective Buyers, Sellers, Landlords, Tenants, Association Boards)
2. Transactions Coordination: Maintain documents for Real Estate Transactions in “dotloop” system (Listing Agreements, Disclosures, Offers, Tenant Applications, etc.)
3. Post Company Info in Social Media (Facebook, Instagram, etc.)

Office Admin
1. Assist with any tasks, projects or activities needed to help run and grow the business on a daily basis

Qualifications:
1. Very Strong Bookkeeping skills, A/P, G/L Journals, P&L, B/S, detailed oriented
2. Excellent English verbal & written skills (Fluent to Native)
3. Strong communication (written and verbal) skills
4. Ability to multi-task and constantly shift focus to top priorities
5. Organized and able to maintain tight timelines and deadlines
6. Strong user of Microsoft Office Suite (Word, Excel, PowerPoint)
7. Strong user of Google Suite (Documents, Spreadsheets, Slides, Google Drive, etc.)
8. University Degree (Accounting, Finance, Business, etc.)
9. Real Estate & Property Management Experience is a Plus
10. Team Player (work well with others)
11. Willing to work 20 Hrs a week (2-4 hrs/day x 2-5 days/wk)
12. Working Hours: Any time between 10 am and 6 pm New York Time for Web Meetings (non-meeting hours any time, flexible)
