The ideal candidate will have excellent bookkeeping (specifically using QuickBooks Online). We are looking for an honest, capable, responsible, flexible, organized and detail-oriented person to work from home but during Eastern Standard hours. We have a close “family type” atmosphere here. Must be a team player and willing to volunteer to help others. We are looking for someone who can quickly learn our ways so that they might be able to bring a fresh perspective on our existing practices and procedures to help us be more productive and move forward.

Bookkeeping Responsibilities:
* Bookkeeping & basic accounting in QuickBooks Online
* Accounts Payable & Receivable
* General Ledger accounting
* Payroll & payroll taxes
* Quarterly and year-end employment taxes
* Manage in QB vendor entry and accounts payable / accounts receivable.
* Monthly Bank Reconciliations
* Research and resolution of issues
* Collect all incoming receipts for credit card use and payment authorization.
* Maintain communication with other company departments and outside vendors.

Responsibilities for Administrative Assistant
* Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
* Manage office supplies inventory and place orders as necessary.
* Assist Executive Assistant and Event Planner on a per event basis
* Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

Must know how to use Zapier

1. **Client Onboarding and Offboarding**:

2. **Email Management**: Set up Zaps to categorize, archive, or forward specific emails based on criteria such as sender, subject, or content.

3. **Form Submission Processing**: When users submit forms on your website, have Zapier automate the distribution of data to relevant teams or databases.

4. **Task and Project Management**: Integrate task and project management tools to automatically create tasks or projects when certain conditions are met, like receiving a new client request.

5. **Lead Management**: Automatically add new leads from web forms, emails, or CRM systems into your lead management system and trigger follow-up actions.

6. **Social Media Posting**: Schedule and automate social media posts, monitor brand mentions, and engage with followers across various social platforms. This will be when not busy.

7. **Customer Support and Ticketing**: Create support tickets or trigger alerts based on customer inquiries or issues submitted through various channels.

Skills/Qualifications:
* Honesty and strong work ethic
* Team player who can adapt to our process & can work independently.
* Ability to prioritize, work quickly, and manage multiple responsibilities.
* Strong verbal and written communication skills
* Strong attention to detail and accuracy
* QuickBooks Certified/Word/Excel/Access/Outlook/Teams/Google Drive
* A to Z office skills
* Comfortable with repetitive tasks
* Basic Graphic Design experience a Major plus (preferable but not necessary)

WORK EXPERIENCES:
* Two plus (2) years’ experience with accounts payable, accounts receivable, and general ledger using QuickBooks Online.
* Two (2) years of administrative experience.
