In addition to our bookkeeping services, we also operate a digital marketing firm focused on helping businesses grow their online presence. We are seeking a highly organized and proactive Virtual Assistant to join our team and support both arms of our business.

Key Responsibilities:
For Bookkeeping Firm:

Email Management:

Monitor and manage the company’s email inbox.
Respond to client inquiries promptly and professionally.
Organize and categorize emails for efficient retrieval and action.
Client Inquiries and Follow-Up:

Handle incoming client inquiries and provide necessary information.
Follow up on outstanding client tasks to ensure timely completion.
Monthly Reporting:

Compile and send monthly financial reports to clients.
Ensure accuracy and clarity in all reports.
Team Assistance:

Assist the bookkeeping team with various tasks as needed.
Update the workflow software to keep the dashboard current with assigned tasks.
Workflow Management:

Ensure all tasks are tracked and deadlines are met.
Communicate any changes or updates to the team promptly.

For Digital Marketing Agency:

CRM Management:

Maintain and update the CRM with new leads and client information.
Ensure all data is accurate and up-to-date.
Lead Management:

Monitor and manage incoming leads.
Work to get leads booked for consultation calls.
Email Marketing Campaigns:

Create and manage email marketing campaigns to generate new leads.
Track campaign performance and report on results.
Scheduling:

Manage and organize the calendar for booked calls.
Coordinate with potential clients to schedule meetings.

Required Skills and Qualifications:
Proven experience as a Virtual Assistant or relevant role.
Excellent email management and organizational skills.
Strong communication and interpersonal abilities.
Proficient in using workflow and CRM software.
Knowledge of bookkeeping and financial reporting.
Experience with digital marketing and email campaigns.
Ability to multitask and prioritize tasks effectively.
High level of accuracy and attention to detail.
Proactive and self-motivated.

Preferred Qualifications:
Experience working in a bookkeeping or financial services firm.
Familiarity with digital marketing tools and strategies.
Previous remote working experience.
