Job Description

As a Virtual Business Administrative Assistant, your primary responsibility will be to support the administrative tasks and client management processes of the business. Your role will involve interacting with clients, following up on tasks and deadlines, and ensuring effective communication between the business and its clients.

Roles and Responsibilities:
As a Virtual Assistant, you are expected to help clients run their business efficiently including:

– Efficiently managing and organizing client documents, both physical and digital, to ensure easy retrieval and accessibility. This involves maintaining document databases, creating filing systems, and implementing efficient document control procedures.
– Proactively following up with clients and internal team members to ensure tasks and projects are progressing smoothly.
– Tracking action items, updating task lists, and providing timely reminders to ensure that deadlines are met.
– Managing and prioritizing multiple deadlines for client-related projects and tasks. Keeping a keen eye on project timelines and milestones, coordinating with team members, and communicating updates and progress to clients and management.
– Maintaining regular and effective communication channels with clients to keep them informed about project updates, deliverables, and any changes in deadlines or requirements. Responding promptly to client inquiries and concerns while maintaining a professional and positive demeanor.
– Assisting with general administrative tasks such as managing calendars, scheduling appointments, coordinating meetings, and handling correspondence.
– Maintaining strict confidentiality and data security measures when handling client information, ensuring compliance with relevant policies, regulations, and privacy guidelines.
– Other administrative tasks and projects

Qualifications
The ideal candidate should have the following hard and soft skills:
– Minimum of at least 1 year of online work experience
Excellent organizational skills
Excellent interpersonal skills
Excellent client-facing skills
Excellent communicator who builds strong relationships
Excellent written and communication skills
Proficiency in document management and file organization, including knowledge of relevant software tools and platforms (i.e. Microsoft suites, WordPress, Clio, etc.)
Attention to detail and accuracy in recording client information and maintaining records.
Ability to work independently and remotely, demonstrating self-motivation and a proactive attitude
Trustworthy

Salary and Schedule Details
$5/hour
Willing to work for 20 hours per week

Commencement of Employment
You will be pooled and matched to a client based on agreed preferences set by the client and the new hire
