**Business Leadership and Executive Coach Assistant**

Type of Employment: Full Time
Salary Range: AUD 8ph – AUD 12ph
Reports to: CEO

Position Summary:
We are seeking a highly organized, diligent, and adaptable Executive Assistant to provide comprehensive support for the founder of a Business Leadership and Executive Coaching business. The ideal candidate will act as the coach’s right hand, ensuring efficient and smooth day-to-day operation of the business. This role demands discretion, flexibility, and the ability to anticipate the needs of the executive, enabling them to focus on strategic priorities and decision-making.

Key Responsibilities:
**Administrative Support: ** Manage the coach’s calendar, including scheduling meetings, appointments, logistics, and travel arrangements. Ensure all correspondence and relevant materials are produced in a timely and accurate manner. Proactive in taking the lead.

**Communication Facilitator: ** Act as a point of contact between the coach, employees, clients, and other external partners including email reminders for appointments and/or reschedules. Manage information flow in a timely and accurate manner.

**Meeting and Event Coordination: ** Organize and prepare for meetings, including gathering documents and/or research, creating agendas, and taking minutes. Coordinate logistics for internal and external events, including conferences, seminars, offsite, workshops, webinars, etc.

**Marketing & Social Media Management: ** Manage and lead marketing and social media campaigns. Creating graphics for social media accounts, video editing and content creation. Responsible for email campaigns, updating HubSpot CRM, and overall management of social media accounts.

**Customer Experience Management: ** Includes client onboarding, creating a smooth flow of process for all clients including proposals & invoices. Assisting with project management for special projects as directed by the coach. Managing the customer success platform, Aligned Up.

**Sales/Lead Management** Accommodating inquiries, doing cold outreach on LinkedIn, making follow up calls for opportunities, and updating CRM after sales call.

**Document Preparation and Management: ** Prepare executive responses to letters, memos, and documents. Create and maintain a filing system that ensures easy access to critical information.

**Confidentiality: ** Handle confidential information with integrity, ensuring that sensitive materials are securely managed and communications are discreet.

Qualifications:
– Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
– Minimum of 5 years of experience as a VA to a coach and/or Australian company
– Exceptional organizational and time-management skills.
– Strong ability to multitask and prioritize work.
– Excellent verbal and written communication skills.
– Professional video editing and and graphic design skills.
– High proficiency in Microsoft Office Suite, Adobe, Canva, and social media sites.
– Experience with HubSpot CRM.
– Discretion and confidentiality of the highest degree.
– Ability to work under pressure and meet tight deadlines.
– A proactive approach to problem-solving with strong decision-making skills.
– Availability to work outside of standard AEDT hours.

Case study 1: You’ve been assigned as the Executive Assistant for a beautiful, high energy but chaotic creative entrepreneur who doesn’t respond to their emails and is hard to reach by chat. Your job is to help them feel confident and in control of their life, to improve communication with leads, clients and partners, and to help them better enjoy their experience of work and admin. They have multiple Gmail boxes with many unread emails (bills, leads, enquiries, spam etc.), they don’t have an automated invoicing or billing system, they have leads coming from various sources, and they’re sporadic with their social media posting.
You’re preparing for your first session with them, to find out more of the best role you can play to support them, as well as to convince them they can trust you to guide them through the chaotic world of their personal and business admin.
Give an outline of how you plan to host this meeting. What key questions do you need answered. What action plan do you expect to establish with them. How will you set your relationship up for success with them?

Case Study 2: NLP/Coaching – What experience do you have with being coached or being a coach (think in any context – sport, work, life coaching etc.)? What training (if any) do you have in Neurolinguistics Programming (NLP)? What interests you to be trained further in NLP?
