Job Description
We are a dynamic team seeking a highly skilled Virtual Assistant to join us to assist in the rapid launch and growth of our new Acumen Digital Solutions. The ideal candidate will be an expert in digital marketing, with exceptional skills in creating advanced Canva documents, and proficient in the Microsoft Office suite. If you have a passion for social media marketing and online course management, we want you on our team!
The Virtual Assistant (VA) will be responsible for implementing and managing the automation of online course creation using Zapier, Make, Microsoft Power Automate, and custom GPT integration working directly with the firm Principal Executive. Additionally, the VA will handle graphic design, content creation, video editing, course management, and digital marketing, including social media management, as well as Executive Assistance and Administrative duties as required.

Key Responsibilities
1. Setup and Preparation
• Utilize tools including Zapier, Microsoft Power Automate, custom GPT models, Microsoft Forms, Canva, Wix, and Microsoft Excel.
• Ensure all tools are correctly set up and configured.
2. Creating Input Forms
• Log in to Microsoft Forms and create new forms for online course content input.
• Connect forms to Microsoft Power Automate to trigger workflows based on form submissions.
3. Generating Content Using GPT
• Set up and configure custom GPT models using OpenAI’s API.
• Integrate GPT models with Microsoft Power Automate to generate course content.
• Parse GPT responses to extract relevant information.
4. Automating CSV Generation
• Set up and manage Google Sheets or Microsoft Excel templates.
• Populate spreadsheets with content generated by GPT.
• Automate the export of CSV files.
5. Automating Slide Creation in Canva
• Create and manage template designs in Canva.
• Enable bulk creation features and integrate Canva with Zapier to automate slide creation from CSV data.
6. Exporting and Uploading Videos to Wix
• Download slides from Canva as videos.
• Upload videos to the Wix Online Course Program app.
• Organize and configure course settings, including pricing and access.
7. Optimizing Automation
• Create and manage master Zap workflows to automate the entire process.
• Ensure seamless integration and execution of all automation steps.
8. Monitoring and Maintenance
• Regularly review automation logs to ensure all steps are executed correctly.
• Monitor for errors and promptly address any issues.
• Update templates based on feedback and new requirements.
9. Graphic Design and Content Creation
• Design engaging and on-brand graphics for use in course materials.
• Create compelling content for courses, marketing materials, and social media.
10. Video Editing and Course Management
• Edit videos to produce high-quality course materials.
• Manage course content on various platforms, ensuring it is up-to-date and accessible.
11. Digital Marketing and Social Media Management
• Develop and execute digital marketing strategies to promote online courses.
• Manage social media accounts, creating and scheduling posts to engage with the audience.
Requirements
• Proven experience with automation tools such as Zapier, Make, and Microsoft Power Automate.
• Familiarity with GPT models and OpenAI’s API.
• Proficiency in using Microsoft Forms, or Microsoft Excel, Canva, and Wix.
• Strong graphic design and video editing skills.
• Experience in digital marketing and social media management.
• Strong organizational and time-management skills.
• Excellent attention to detail and ability to troubleshoot issues promptly.
• Strong communication skills and ability to work independently.
