Job Description

The Executive Assistant will play a critical role in supporting the CEO across various businesses. The role requires exceptional organizational skills, problem-solving abilities, and the capacity to manage a busy schedule and multiple projects simultaneously. The Executive Assistant will be responsible for personal organization, financial management, coordination of projects, and implementing efficient systems and automation to streamline operations.

Qualifications:
– Proven experience as an Executive Assistant or in a similar role.
– Strong organizational and multitasking abilities.
– Excellent communication skills, both written and verbal.
– Familiarity with financial management software like Quickbooks, Mint, and Intuit.
– Knowledgeable of automation tools and systems to streamline workflows (Zapier)
– Proficient in using productivity and organization tools such as Notion, Airtable, and/or Asana
– Ability to handle confidential information with discretion.
– Proactive, detail-oriented, and able to work independently with minimal supervision.
– A keen understanding or interest in the wellness and microdosing industries is a plus.

Key Responsibilities:
– Daily Routine Management:
Assist in organizing the CEO’s daily schedule, including activities such as yoga, gym, meditation, hydration, and daily planning from 5-10 AM.

– Communication and Meetings
Manage calls and Zoom meetings, ensuring efficient communication with the team.
Facilitate communication through various channels including Signal, email, and Slack.
Coordinate Telegram Chat for team communication.

– Business Support
Assist in sales activities, micro-management, content creation, R&D, and product development.
Contribute to LinkedIn hiring and brand strategy efforts.
Support in managing personal and business finances using Quickbooks, Mint, Intuit, and eMoney, and handling weekly employee payments.

– Project Management:
Help with personal organization and note-taking for the team using software like Notion and Asana.
Assist in cleaning up and organizing emails, adding contacts to CRM, and managing shared software for the team.

– Automation and System Implementation:
Create and implement systems for organizing emails, folders, photos, and drive folders.
Set up and manage automation tools for various tasks and processes, utilizing software and trackers as needed.

– Content Creation and Curating
Assist in curating and organizing content for Microdosemovement, MCRDSE, and TheColonysd.
Contribute to content creation, including reels and vlogs for Microdosemovement and The Colony.

– Event and Marketing Support
Assist in organizing leads, setting up automation, and creating content for events and marketing initiatives.

– Team Collaboration and Support
Organize team meetings and take notes during meetings to ensure effective communication and task organization.
Collaborate with the team to problem solve and figure out tasks, while also ensuring accountability within the team.

– Research and Reporting
Conduct research on industry trends, competitors, and emerging opportunities. Prepare reports for the CEO’s review.

– Confidentiality
Maintain the highest level of confidentiality with sensitive information.
