**Job Description: C-Level EA & Operations Manager for Real Estate Investor

**Position Overview:**
We are seeking a proactive and organized Assistant to support the CEO in managing daily operations, bookkeeping, and administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.

**Responsibilities:**

– **Email Management:**
– Prioritize and organize the CEO’s inbox daily.
– Respond to important emails, acknowledging receipt and informing senders that the CEO will be in touch shortly.
– Categorize and file less urgent emails into appropriate folders.

– **Financial Management:**
– Pay bills and manage financial transactions.
– Create and update spreadsheets to monitor the CEO’s investments, properties, and lending activities.
– Maintain records of lending, including dates and return schedules.

– **Administrative Tasks:**
– Book travel arrangements for the CEO.
– Check in with the CEO daily to identify tasks that need to be completed.
– Manage the CEO’s calendar, scheduling meetings and creating a structured daily timeframe.

– **Communication:**
– Speak with the CEO’s business partners & customers via phone to get updates and prepare reports, minimizing the need for the CEO to follow up.
– Ensure clear and effective communication on the CEO’s behalf.

– **Presentations and Documentation:**
– Create and deliver presentations as needed.
– Use Microsoft Suites and/or Google Suites to maintain and present data.

– **Operational Support:**
– Help maintain smooth operations across all of the CEO’s businesses.
– Utilize Trello and Basecamp to manage projects and tasks.

**Requirements:**

– Highly experienced in working with C-level executives as Executive Assistant.
– Experienced in Email management and Inbox Zero.
– Proficient in basic bookkeeping and financial management.
– Strong presentation and communication skills.
– Adequate proficiency in English for effective phone communication and correspondence.
– Ability to maintain detailed records and manage spreadsheets.
– Experience with real estate transactions is a plus.

**Preferred Skills:**

– Familiarity with Microsoft Suites and/or Google Suites.
– Familiarity with Inbox Zero Email management.
– Experience in real estate loan transactions and documents.
– Experience using Trello and Basecamp for project management.
