Job Title: Executive Assistant to the CEO
Job Type: Full-time (Remote)

UMBRELLANET is currently seeking experienced, highly skilled, and motivated Executive Assistant to support THE CEO. The successful candidate will be responsible for managing the CEO’s inbox, calendar, and daily activities while providing excellent communication, transcription, and organizational support. The role demands flexibility, resilience, and the ability to work under pressure in a fast-paced environment. Key Responsibilities:

The EA must be able to:

1. Clear out The CEO’s Email Inbox:
a. Read the inbox and sort out the Junk from important emails.
b. Organize the emails into logical folders that is easy to navigate.
c. They must be able to zero out the inbox daily to stay on top of things.

2. They must also be able to manage The CEO’s calendar and schedule his meetings.
a. He does NOT take meetings in the mornings.
b. Meetings should be scheduled in the afternoons.
c. If a meeting needs to be scheduled in the evenings, check with The CEO first to confirm availability.

3. The EA must be able to connect with The CEO in the morning (or as soon as he is available) to walk him through the day:
a. Provide an overview of what appointments are scheduled for the day.
b. Provide an overview of items that require his immediate attention (based on priority).

4. The EA must also be excellent at transcribing:
a. The CEO prefers his EA to type documents and emails for him while he dictates.
b. They must also be great at spelling and grammar.
c. They need to be able to word smith for him to re-write anything that needs to be revised for clarity.

5. They must be great at communication:
a. They need to be able to answer calls on his behalf.
b. They need to be able to make appointments and booking on his behalf.
c. They need to be able to arrange meetings on his behalf.

6. They must also be great at listening and documenting minutes.
a. For every meeting, it is expected that important meeting minutes are documented.
b. Items discussed and decisions made must be accurately documented.
c. They must also be great at following up with action items and next steps.
d. They must be confident in making sure people are able to deliver on what has been agreed.
e. They must be able to enforce discipline on behalf of The CEO.

7. They must also be organized and know where items are.
a. The CEO will often ask for documents, emails, other items and they must be able to provide it to him immediately.

8. They must also be available; The CEO is a night owl so he often has more strength and gets a lot of things done at night.
a. Their schedule must also be flexible to accommodate his schedule due to his circumstances.
b. Chris does not like it when the EA is not contactable.

9. They must also be resilient.
a. The CEO has a tendency to work fast and they must be able to work alongside his pace.
b. They must also be able have constitution to work with extreme pressure.
c. The CEO dislikes slow people who cannot keep up.
d. The CEO will also sometimes come across as very strong and pointed, so they must be able to work under those circumstances.

10. The work resolves on highly advanced technology:
a. They must have the ability to learn things on their own.
b. They must ask questions when things are not clear but are able to figure things on their own via research.
c. They must not be intimidated with technical jargon and instead must be comfortable with learning these things quickly as they come.

Requirements:
• Proven experience as an Executive Assistant or similar role.
• Excellent written and verbal communication skills in UK and AU English.
• Strong organizational and time management skills. Can work Australian time.
• Proficient in Microsoft Office Suite and other relevant software.
• Flexible and adaptable, able to work under pressure and with changing priorities.
• Self-motivated and resourceful, quick to learn new concepts and technologies.
• Demonstrated ability to take the initiative and solve problems independently while contributing innovative ideas for process improvements.
• Discretion and confidentiality in handling sensitive information.
