Job Description

Our client for this role one of the world’s top e-commerce podcasts and they have a growing agency for e-commerce software companies.

You’ll be the right hand person of their Managing Partner. Your role will be instrumental to the success of the business. You’ll help manage projects and work across the entire organization.

Need to have qualifications:

1+ year of proven experience in a similar role, preferably in a marketing or agency setting. Similar roles include:
Management Consultant
Business Analyst
Operations Manager
Head of Operations
1+ year building SOPs
1+ year managing a team
Excellent English communication, both written and verbal
Proficiency in project management tools such as Asana
Experience with social media management and marketing campaigns
Daily availability starting between 7AM – 9AM EST to 3PM – 5PM EST

Nice to have:

Financial oversight experience, including budgeting and monitoring expenses
Technical proficiency in setting up integrations between platforms and organizing live events/webinars
Experience with MIRO boards for visualizing processes
Experience in coordinating training programs
Familiarity with HR tasks such as performance reviews, benefits administration, and conflict resolution

Responsibilities:

Project Management: Oversee project management using Asana
Ensure all tasks and sub-tasks are completed within their respective deadlines
Standard Operating Procedures (SOPs):Document and create SOPs, storing them in a central database for future reference
Build out systems, and visualize them using MIRO boards to explain the processes to other members of the team
Vendor Management: Oversee relationships with external vendors and contractors, ensuring they meet company standards and deliver on their commitments
Technology and Tools Management: Oversee the implementation and maintenance of software tools and technology that support company operations
Copywriter Management: Manage the team of copywriters, assigning responsibilities and ensuring timely completion of tasks
Marketing and PR Coordination: Assist in planning and executing marketing campaigns
Manage the company’s social media presence, including posting social media posts from the CEO’s account
Calendar and Inbox Management: Manage the executive’s calendar, schedule meetings, and handle email correspondence
Meeting Facilitation: Organize and facilitate company meetings
Take detailed notes during meetings and ensure actionable items are followed up on
Employee and Client Check-ins: Regularly check in with employees for status updates
Ensure team members follow procedures and meet client expectations
Client Presentations: Prepare documents and presentations to update clients on project status and progress
Client Fulfillment Organization: Assist the team in staying organized and ensuring client deliverables are met
Financial Oversight: Assist in budgeting, financial planning, and monitoring expenses
HR and Recruitment: Oversee the hiring process, onboarding new employees, and maintaining employee records
Handle HR-related tasks such as performance reviews, benefits administration, and conflict resolution
Reporting and Analytics: Generate and analyze reports on key performance indicators (KPIs) for internal operations and client projects
Provide insights and recommendations based on data
Training and Development: Coordinate training programs for employees to enhance their skills and stay updated with industry trends
