I have an online health coaching company for high-performing people. We specialize in gut health and physical healing with nutrition, behavioral psychology, and spiritual well-being.

We are seeking a detail-focused, self-motivated, reliable, and skilled Client Concierge and Virtual Assistant to join our team. Ideally, you will be extremely confident in systems and operations, very competent in email marketing, and comfortable being a concierge for VIP Clients. You must have advanced, fluent English.

You will be part of our team and have a Client-facing role, so you must be able to work well with others, communicate professionally, and be happy to have tasks allocated to you. You will also be in charge of Virtual Assistant tasks.

Role includes:

1. Client-facing concierge to oversee the client experience and ensure everyone is progressing appropriately
2. ?Back-end to-dos to support the client experience – Client Onboarding, Experience, and Offboarding
3. Customer Relationship Management
4. Documenting and creating, auditing, and updating current ?Standard Operating Procedures as needed
5. Email marketing management
6. General Admin & Virtual assistant tasks

Must have experience with:

1. ClickUp for task management
2. ?Slack for Team Communication
3. ConvertKit email marketing platform
4. Very proficient in Google Drive for creating and managing documents
5. ?Canva
6. Be able to pick up new CRMs easily (our client CRM is a specific one for dietitians) – this is for client-facing work

Position Requirements:

1. Fluent in English for effective communication and education on gut and nervous system health.
2. Daily availability for Slack, ClickUp, and email check-ins to address time-sensitive tasks.
3. Willingness to work Eastern or Central Standard Time zone business hours.
4. Initial commitment of 3-5 hours per week, potentially increasing with client base growth.
5. Strong organizational and multitasking abilities.
6. Ability to prioritize tasks based on urgency.
7. Fast turnaround time for tasks and capacity to handle multiple projects simultaneously.
8. Understanding of the broader vision behind tasks and ability to optimize workflows.
9. Self-driven and entrepreneurial mindset.
10. Capable of following and updating SOPs as needed.
