Job Description

The Client Journey Manger will play a pivotal role in ensuring the smooth operation of our daily activities. This position requires a highly organized, detail-oriented individual who thrives in a fast-paced environment. The Client Journey Manger will manage client communications, handle scheduling, update records, and support our clinical staff with administrative tasks. Proficiency in English communication is essential. Candidates must possess excellent verbal and auditory skills in English, enabling them to effectively understand and respond to diverse client needs.

SCHEDULE: Monday- Friday 9am – 5pm CST

Responsibilities:
• Manage and respond to client inquiries via phone and email, providing high-level customer service.
• Send links and necessary information to clients to facilitate their engagement with our services.
• Maintain and update staff schedules and client appointments.
• Update and manage client documentation and external resources.
• Confirm client demographics with insurance providers and handle related communications.
• Process payroll and manage financial documentation.
• Send reminders for incomplete paperwork and follow up on the client intake process.
• Update and maintain client profiles in our database.
• Assist therapists with paperwork and answer any related questions.
• Coordinate between clients and clinicians to arrange schedules and appointments.
• Consult with clients to help identify the therapist that best fits their needs.
• Handle random projects as assigned by management.
• Implement and update new software systems to enhance operational efficiency.
• Manage office supplies and stock ordering.
• Answer phone calls and manage real-time responses to client or staff inquiries.

Qualifications:
• Must have strong verbal and written English skills
• Must be an effective listener
• Proven experience in an administrative role, preferably in a healthcare or therapeutic setting.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office and experience with scheduling and documentation software.
• Ability to work independently and as part of a team.
• Discretion with confidential information.
