This position is for a full-time permanent hire on our team (after successfully completing your 90-day probationary period).

This position will work directly with all members of our leadership team and will be instrumental to our success and effectiveness as a consulting firm.

In this role, you will manage and support our Client Operations, performing a wide variety of administrative tasks and responsibilities. While the primary focus of your position may be designated as Client Operations, depending on the workload and availability of your team members, flexibility and cross-training with our Sales Operations Manager will be required so you can support both areas of the business as needed.

You will report directly to one of the executive team and provide daily administrative support to the Client Success Manager.

***The responsibilities will be quite varied and will include:***

1) Coordinate complex scheduling and calendar management for our consulting staff and clients.

2) Take detailed meeting notes during internal client operations calls and keep all project data current daily in our internal monday Work OS system and CRM.

3) Provide data entry administrative support in multiple software platforms (, Salesforce, LinkedIn, Excel, Zoom, Google Suite, etc.)

4) Support the client project management process and CSM program with daily routine tasks and ad hoc tasks as needed.

5) Ensure that client contract extensions for active consulting projects are properly documented and billed by senior staff. Prepare client communication materials as directed.

6) Audit and reconcile data between platforms and systems on a regular basis each week. Uncover discrepancies and provide supporting documentation to leadership team members.

7) Thoroughly document internal business processes step-by-step as the position is learned to create an operations manual for our company.

8) Support email marketing efforts for the CSM team – data entry, monitor and manage inboxes, draft email replies and other tasks to help create a delightful customer experience.

9) Assist the Sales Ops Manager with extensive data entry and analysis inside our monday(.com) account for sales, commissions, project reporting to monday(.com), software revenue and other critical financial metrics

10) Other administrative and operational duties as assigned.

***Desired skills and aptitude:***
– Excellent written and verbal English – must be fluent and easy to understand
– Highly organized and detail-oriented, with excellent time-management skills
– Experienced in preparing reports, performing data audits and analysis
– Experienced using CRM systems to organize, manage and report on data
– Strong experience with Excel, Word, Gmail, Zoom, Google Calendar and other common remote office software
– Experience with Salesforce and/or is preferred, but not required
– Phone call support for incoming calls may be required of this role in the future
– Team-oriented, patient and thorough
– Reliable and dedicated, eager to learn and take on new challenges
– Ability to multitask: Able to effectively prioritize work to meet company needs in a fast-paced environment with frequent changes and new task assignments
– Must be able to maintain strict confidentiality with all materials and information. A Non-Disclosure Agreement (NDA) will be required upon hire.
– You must genuinely enjoy helping others achieve their goals and stay organized; you should have pride in becoming a “backoffice superpower” behind our successful agency
– We seek reliable team players who enjoy working remotely in a small business environment. You must have excellent home office internet service and be willing to work full time, USA Eastern timezone hours Monday – Friday.
