Job Description

SUMMARY

A Client Operations Specialist is responsible for coordinating deliverables and addressing internal and external inquiries to ensure that projects are moved to completion. They facilitate internal and external communications, assign tasks for efficient content delivery and support with creating guides and standard operating procedures to improve organizational efficiency. Client Operations specialists also assist in the phases of the project lifecycle to ensure successful completion and client satisfaction.

RESPONSIBILITIES

?Oversee marketing content deliverables and implement quality assurance reviews.

?Address customer questions and general inquiries via email and phone calls.

?Supports Account Management team in the client journey with scheduling and basic invoicing requests.

?Resolves client and team issues & escalations.

?Company website chat bot support

?Participates in lead generation.

?Facilitate client onboarding process by creating external resources and guides.

?Manage and provide consultation for print and design assets.

?Analyzes feedback data and identifies customer service trends.

?Identify system improvements and create internal documentation such as standard operating procedures and quick reference guides.

?Pilot new software and support in providing guidelines for implementation.

?Support in training new team members and creating training documents.

SKILLS AND QUALIFICATIONS

?Excellent customer service, communication, and organizational skills.

?Proven analytical, problem-solving, and decision-making skills.

?Strong writing abilities, technical skills, and design acumen.

?Exceptional time management skills with the ability to prioritize and meet deadlines.

?Ability to work well in a high-paced environment.

?Familiarity with quantitative and qualitative data collection.

?Aptitude for systems adoption with the ability to pick up new technologies quickly.

?Proficient with Google Workspace and word processing software.

?Experience with photography, Adobe Creative Suite. Copywriting is a plus.

EDUCATION AND EXPERIENCE QUALIFICATIONS

?1-2 years of experience in Business Administration, Operations, or related discipline.

?High school diploma or equivalent required.

?Undergraduate degree in Business Administration, Communications, Marketing, or a related discipline preferred. Equivalent work experience will be considered.

WORK HOURS
——————————————————————————————————————————————————————-
This is a full-time, hourly, non-exempt position. Weekend availability may be required. Minimum requirements average at 8 hours per day or 40 hours per week. Work hours are dependent on the needs of the business and the completion of projects. Some days may require more than 8 hours.

Our standard operating hours are from Monday-Sunday, 9:00 am PST to 6:00 pm PST. Hours may be subject to change based on business needs and seasonality.
