Position: Collections and Administrative Virtual Assistant
Location: Remote
Reports to: Office Manager

We are seeking a dedicated and detail-oriented Collections and Administrative Virtual Assistant to join our team and contribute to our growth and success.

Job Summary:
The Collections and Administrative Virtual Assistant will be responsible for managing collections activities and providing administrative support. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving. The ideal candidate will be adept at handling sensitive information, multitasking, and maintaining a high level of professionalism.

Key Responsibilities:
Collections:
– Contact clients to collect outstanding payments via phone, email, and other communication channels.
– Track and manage overdue accounts, updating the status of collections efforts in the system.
– Negotiate payment arrangements and settlements with clients.
– Prepare and send invoices, statements, and payment reminders to clients.
– Maintain accurate and detailed records of all collections activities.
– Work with office manager to reconcile accounts and resolve discrepancies.
– Generate reports on collections activities and outstanding accounts.

Administrative Support:
– Perform data entry tasks, ensuring accuracy and completeness of information.
– Manage and organize electronic files, documents, and records.
– Schedule and coordinate meetings, appointments, and travel arrangements.
– Handle incoming calls, emails, and other correspondence.
– Prepare and edit documents, reports, and presentations.
– Assist in the preparation of financial and operational reports.
– Provide general administrative support to the team as needed.

Qualifications:
– MUST SPEAK NATIVE FLUENT ENGLISH
– Proven experience in collections, accounts receivable, or a similar role.
– Strong understanding of basic accounting and book keeping principles and practices.
– Excellent communication and negotiation skills.

– Proficient in QUICKBOOKS ONLINE, Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
– Experience with accounting software and CRM systems is a plus.
– Strong organizational skills and attention to detail.
– Ability to work independently and manage multiple tasks simultaneously.
– High level of integrity and confidentiality.
