Job Title: Commercial Lease Administrator
Reports To: Director of Operations
Job Summary: The Commercial Lease Administrator is responsible for managing all tasks related to setting up and maintaining commercial leases. This includes uploading lease documents to AbstractCRE, reviewing and correcting abstracts, and inputting lease information into YARDI Voyager. The ideal candidate will have strong attention to detail, excellent organizational skills, and proficiency with YARDI Voyager. Training to be provided as needed.
Key Responsibilities:
1. Lease Setup and Administration:
o Upload lease documents to AbstractCRE for abstraction.
o Review lease abstracts for accuracy and completeness, making necessary corrections.
o Enter and maintain lease information in YARDI, ensuring accuracy and compliance with company policies.
o Coordinate with leasing, accounting, and property management teams to gather necessary information for lease setup.
2. Documentation and Record Keeping:
o Prepare and manage all lease-related documentation, including lease agreements, amendments, and renewals.
o Maintain an organized filing system for all lease documents.
o Ensure that all lease documents are properly executed and distributed.
3. Communication and Coordination:
o Assist property managers with lease-related inquiries and tasks.
o Coordinate with legal, finance, and operations teams to resolve lease issues and discrepancies.
4. Compliance and Reporting:
o Monitor lease compliance with company policies and legal requirements.
o Generate and analyze lease reports, identifying potential issues and areas for improvement.
o Assist with internal and external audits related to lease administration.
5. General Administrative Support:
o Provide general administrative support to the leasing and property management teams as needed.
o Assist with special projects and other duties as assigned.
Qualifications:
• 2-3 years of experience in commercial lease administration preferred.
• Proficiency in YARDI software.
• Strong attention to detail and excellent organizational skills.
• Ability to manage multiple tasks and meet deadlines.
• Excellent communication and interpersonal skills.
• Knowledge of commercial lease terms and conditions.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
