Job Description

As a Communications /Administrative Assistant, you will play a crucial role in supporting our team by managing administrative tasks, ensuring document accuracy, and providing essential assistance. Your attention to detail, organizational skills, and ability to work independently will contribute to our operational excellence.

Key Responsibilities:

Document Preparation and Organization:
* Assist in preparing and organizing various documents, including contracts, agreements, and other correspondence.
* Maintain a meticulous filing system for all documents, contracts, reports, data sheets, resources, and communications.
* Collaboration and Operations / Transactions Support:
* Collaborate closely with the sales team to draft, deliver, and file collaboration contracts and agreements.

Administrative Support:
* Schedule meetings, manage calendars, and handle travel arrangements.
* Perform data entry, transcription, and report writing.
* Manage team-related tasks efficiently.
* Gmail (Email) Management, email labeling. Draft, send and organize.
* Strong organizational and administrative abilities with a keen eye for detail and accuracy.

Independence and Initiative:
* Demonstrated ability to take initiative and work independently.
* Careful adherence to instructions for team tasks.

Confidentiality and Communication:
* Handle confidential information discreetly and professionally.
* Excellent communication and interpersonal skills.

Non negotiable Requirements:
* Language Skills: C2 proficiency level – Fluent in English, especially in written communication.
* Superior email mailbox management. labeling, Filtering, clears all emails by the end of the shift.
* Minimum 3 years Experience in an executive assistant role.
* Digital fluency in tools such as Slack,, Google Drive, Calendly, Loom, Google Sheets,
* Added plus on Canva, Notion, and Asana (other project management tools.
* Automation skills for streamlining workflows.
