Job Description

Job Description: We are a leading educational assessment firm specializing in providing comprehensive psychological assessments and reports for schools and educational institutions. We collaborate closely with educators, administrators, and parents to enhance students’ academic success and social-emotional well-being. As a Communication Specialist, you will play a crucial role in facilitating effective communication within our organization and with external stakeholders. This is a remote position, working Monday-Friday, 8 am – 5 pm Pacific Standard Time.

Roles and Responsibilities:
1. Phone Operations:
• Answer incoming phone calls at our Orange County, Los Angeles, and San Diego offices using the Google Voice
platform.
• Provide professional and courteous assistance to callers, addressing inquiries, and directing calls to the appropriate
department or person.
• Maintain a helpful demeanor and ensure accurate information is provided during phone interactions.
• Record call details and relevant information in a log for reference.
2. External Communication:
• Serve as a primary point of contact for external stakeholders, including schools, educational institutions, doctors, and
parents.
• Respond to inquiries, provide information, and address concerns promptly and professionally.
• Develop and implement strategies to enhance external communication, ensuring consistent and positive messaging.
• Assist in the preparation of presentations, proposals, and other external-facing documents.
3. IntakeQ and Scheduling:
• Utilize the IntakeQ platform to schedule clients for our practitioners and manage their appointments.
• Coordinate and communicate with practitioners regarding their schedules, ensuring efficient and effective
appointment management.
• Familiarize yourself with the features and functionalities of IntakeQ to provide seamless scheduling services.
• Assist with sending out calendar invites and maintaining the appointment schedule.
4. Internal Communication:
• Utilize the Slack app to facilitate communication within the company.
• Utilize Slack’s features to organize conversations, channels, and notifications effectively.
• Communicate with practitioners regarding scheduling via Slack or email.
5. School District Outreach and IEE Assessor Documentation:
• Reach out to school districts to inquire about necessary paperwork to become an approved Individual Education
Evaluation (IEE) assessor.
• Gather relevant information and compile necessary documentation to fulfill requirements for IEE assessment
approval.
• Create and maintain an Excel spreadsheet to track school districts contacted, documentation status, and additional
notes or requirements.
• Help maintain communication with school districts, clients, school physicians, and educational institutions.

6. HR Generalist Responsibilities:
• Act as an HR Generalist to onboard new hires and organize their paperwork.
• Communicate with new hires to guide them through the hiring process, ensuring completion of required
documentation accurately and on time.
• Serve as the primary point of contact for new hires, addressing their questions and providing necessary information.
• Maintain confidentiality and handle sensitive employee information with care.

7. Relationship Building:
• Cultivate and maintain positive relationships with key stakeholders, including school administrators, educators, and
parents.
• Proactively engage with stakeholders to understand their needs and provide appropriate support and assistance.
• Collaborate with the sales and marketing teams to identify and pursue opportunities for partnership and
collaboration.

9. Brand Management:
• Uphold and promote the company’s brand identity and messaging in all communication efforts.
• Ensure consistency in brand voice, style, and visuals across different communication channels.
• Monitor and protect the company’s reputation through strategic communication efforts.

Language Requirement:
• Proficiency in English.
Requirements: As this is a remote role, it primarily involves working on a computer for extended periods of time and should be able to sit for long periods, use computer equipment, and have reliable internet connectivity.
Travel Requirements: As this is a remote position, there is no travel requirement. The work can be performed from the convenience of your own computer. The Communication Specialist position may require occasional virtual meetings or communication with company members to discuss projects, gather information, or collaborate on initiatives.
