Administration support with a focus on ensuring compliance and quality standards.
As a Compliance Administration Assistant, you will play a crucial role in ensuring that the homestay accommodations provided to overseas students in Australia meet all necessary compliance standards. This position involves coordinating and overseeing various compliance-related tasks, including scheduling yearly visits to host families, verifying public liability insurance coverage, and ensuring the currency of working with children checks.
Roles and Responsibilities
Assisting the team with compliance checks i.e., contacting host families to obtain missing data/information
Supporting the Homestay Coordinator in entering homestay reports and obtaining missing data/information
Accommodation Standards Assessment:
Collaborate with host families to address compliance concerns and provide guidance on necessary improvements.
Insurance Verification:
Regularly review and confirm the validity of public liability insurance coverage for host families.
Maintain accurate records of insurance policies and update them as needed.
Working with Children Checks (WWCC):
Monitor the currency of WWCC for host family members involved in the home-stay program.
Promptly notify host families of upcoming WWCC expiration dates and guide them through the renewal process.
Maintain a database of valid WWCC records.
Homestay Agreement: to ensure host has completed the homestay agreement and upload the document into the homestay profile
Welfare checks: contacting hosts to check in on their students’welfare and contacting students to see if they are happy with their homestay
Documentation and Reporting:
Prepare comprehensive reports summarising compliance findings, insurance status, current homestay agreement and WWCC records.
Maintain organised records and documentation related to compliance efforts.
Assist in drafting correspondence with parents or guardians of the overseas students, addressing compliance matters.
Administration and Social Media
Scheduling posts and updating social media sites
Replying to online enquiries related to our homestay
Other ad hoc duties as required
Qualifications and Experience/Skills Required
Bachelor’s degree in a relevant field or equivalent work experience.
Knowledge of compliance regulations, insurance requirements, and working with children checks (WWCC).
Proficiency in using office software and database management tools.
This person must also have high attention to detail
Fluent in English, written and verbal.
Computer skills (incl. Microsoft Excel and Microsoft Word)
Strong verbal and written communication skills.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
Excellent judgement is essential as the ability to switch gears at a moment’s notice.
Tools and Software experience:
Our in-house developed booking software ( full training provided)
Microsoft Office
Social media experience
